n8n AI agents for agencies

Agencies can use n8n's AI Agent node to run client onboarding, reporting and lead routing as workflows.

What to hand to an agent first

  • Onboarding workflow

Payment triggers welcome, intake form and kickoff link.

  • Reporting workflow

Pull metrics, AI writes the summary, you approve.

  • Lead routing

Inbound leads scored and sent to the right place.

  • Client update drafts

    Weekly draft per client.

Ready-made use cases

  1. 01Client onboarding on autopilot
When a client pays, the agent sends the welcome pack, intake form and kickoff booking link.
  2. 02Metrics digest without opening dashboards
The agent pulls your key numbers from Stripe, analytics and your store into one daily message.
  3. 03Weekly client status updates
The agent writes each client a clear progress update from your tasks and messages.
  4. 04Never miss a lead follow-up
The agent checks your CRM or inbox for leads that went quiet and drafts the next follow-up.
  5. 05Turn discovery calls into proposals
After a call, the agent turns notes or the transcript into a scoped proposal with pricing tiers.

n8n workflow: Client onboarding on autopilot
When: On new payment

1. Create a new workflow. Add a Schedule Trigger, or the app trigger for the event (e.g. new email, new form entry, webhook).
2. Add nodes that fetch the inputs this routine needs (Gmail, Google Sheets, your CRM, etc.).
3. Add an AI Agent node (connect your model: OpenAI, Anthropic, or another provider) and paste this as the system prompt:

When a new client pays, send my welcome email with intake form and kickoff booking link, create their project page in Notion from my template, and remind me if they haven't booked in 48h.

4. Send the output to yourself first (Gmail draft, Slack or Telegram message). Add a "Send and wait for response" / approval step before anything goes to a customer.
5. Test with "Execute workflow", check the output, then activate it.

Keep these human

  • Keep client credentials separate per client.
  • Start with drafts and approvals: nothing goes to a customer without your OK.
  • Don't paste passwords, card numbers or sensitive personal data into prompts.
