n8n automations for small business
n8n connects your apps so routines run on triggers, not reminders. Use it when something should happen every time an event occurs: a new lead, a missed call, a paid invoice.
What to hand to an agent first
Lead capture
Form or email lead into your CRM plus an instant reply draft.
Review requests
Job marked done, review request sent.
Reminders
Calendar event tomorrow, confirmation sent.
Digest
Daily numbers from Stripe or Sheets to Slack or email.
Ready-made use cases
- 01Never miss a lead follow-up
The agent checks your CRM or inbox for leads that went quiet and drafts the next follow-up. - 02Get more 5-star reviews automatically
After each completed job the agent sends a friendly review request and flags unhappy customers to you first. - 03Appointment reminders that cut no-shows
The agent confirms appointments the day before and handles reschedules. - 04Metrics digest without opening dashboards
The agent pulls your key numbers from Stripe, analytics and your store into one daily message. - 05Missed-call text-back that books the job
Every missed call gets an instant text that qualifies the lead and offers a booking link.
Example: n8n setup
n8n workflow: Never miss a lead follow-up When: Daily 11:00 1. Create a new workflow. Add a Schedule Trigger (daily). 2. Add nodes that fetch the inputs this routine needs (Gmail, Google Sheets, your CRM, etc.). 3. Add an AI Agent node (connect your model: OpenAI, Anthropic, or another provider) and paste this as the system prompt: Every day, find leads that haven't heard from me in 3+ days (CRM or email). For each, draft a short follow-up that references our last conversation and offers one clear next step. List them for approval, oldest first. 4. Send the output to yourself first (Gmail draft, Slack or Telegram message). Add a "Send and wait for response" / approval step before anything goes to a customer. 5. Test with "Execute workflow", check the output, then activate it.

Keep these human
- Add a human approval step before customer-facing sends.
- Self-hosting means you own updates, backups and security.
- Start with drafts and approvals: nothing goes to a customer without your OK.
- Don't paste passwords, card numbers or sensitive personal data into prompts.
