The first 5 Grok Bot routines for a small business

Updated · by Rosh Perera

Start with these five: a morning brief, inbox triage, lead follow-ups, review replies and invoice reminders. Each one is a copy-ready prompt from our free template library, and each one drafts first, so nothing reaches a customer until you approve it. They're 5 of the 46 routines in the One-Person AI Business Pack.

They're free to copy below, with no signup. You need Grok Bot (comes with Premium and up on The X Subscription). The same routines work in ChatGPT, Claude and n8n, linked under each one. We're an independent site, not part of xAI.

How to use them

  1. Add one at a time, in this order. Number 1 only reads, so it's the safest place to start.
  2. Paste the prompt into Grok Bot as a routine and set the schedule shown. Connect only the apps that routine lists.
  3. Fill in anything in [brackets] before the first run.
  4. Keep the one rule for the first two weeks: no routine sends, posts, pays, refunds or deletes anything without your OK. Drafts only. Loosen it one routine at a time, after a clean week.
  5. Add the next routine once the last one has run well for a week.

1. Morning brief

  • What it does: one message before you start work with today's meetings (each with a prep note), the emails that need your reply with a suggested one-line answer, money in and out, and the 3 most useful tasks for today.
  • When it runs: daily at 7:30.
  • Apps it uses: Gmail or your email, Google Calendar, Stripe (skip Stripe if you don't use it).
  • Approval: it only reads and reports. It doesn't send anything to anyone but you.

Grok Bot routine: CEO morning brief in 5 minutes
Schedule: Daily 7:30

Every morning, read my calendar for today, my unread emails from the last 24h and yesterday's revenue. Send me a brief: (1) meetings with one prep note each, (2) emails that need my reply with a suggested one-line answer, (3) money in/out, (4) the 3 highest-leverage tasks for today. Keep it under 200 words.

Rules: draft first, never send or post anything external without my approval. Keep summaries short.

2. Inbox triage with drafted replies

  • What it does: sorts new email into Reply, FYI or Ignore, and writes a short reply in your voice for each Reply, saved as a draft.
  • When it runs: twice a day, at 9:00 and 15:00.
  • Apps it uses: Gmail or your email.
  • Approval: it saves drafts and never sends. You get a list of drafts to approve, and you send them yourself.

Grok Bot routine: Inbox triage with drafted replies
Schedule: Twice daily 9:00 and 15:00

Twice a day, go through new emails. Label each as Reply, FYI or Ignore. For Reply, write a draft in my voice (short, friendly, direct) and save it as a draft, never send. Send me a list of drafts to approve and any FYIs worth knowing.

Rules: draft first, never send or post anything external without my approval. Keep summaries short.

3. Lead follow-ups that don't slip

  • What it does: finds leads who haven't heard from you in 3 or more days and drafts a short follow-up for each that refers to your last conversation and offers one clear next step.
  • When it runs: daily at 11:00.
  • Apps it uses: your CRM (for example HubSpot or GoHighLevel) or just your email.
  • Approval: you get the list oldest first and approve each follow-up before it goes.

Grok Bot routine: Never miss a lead follow-up
Schedule: Daily 11:00

Every day, find leads that haven't heard from me in 3+ days (CRM or email). For each, draft a short follow-up that references our last conversation and offers one clear next step. List them for approval, oldest first.

Rules: draft first, never send or post anything external without my approval. Keep summaries short.

4. Review replies, with your OK before posting

  • What it does: when you paste a new Google (or other) review, it drafts a short, honest reply in your voice. Good reviews get a specific thank-you. Bad ones get a calm offer to sort it out offline. Legal, safety, injury or discrimination reviews are marked URGENT for you to handle yourself.
  • When it runs: daily at 10:00, or whenever you paste a review.
  • Apps it uses: your email or SMS/WhatsApp, wherever you paste reviews from.
  • Approval: it never posts. You post every reply yourself. Fill in your phone or email where it says [FILL IN].

Grok Bot routine: Reply to every Google (and other) review, with your OK before posting
Schedule: Daily 10:00 or on paste

When I paste a customer review (stars, text, first name, site), draft a short reply in my voice. 4-5 stars: thank them by name, mention one specific thing they said, invite them back. 1-3 stars: thank them, acknowledge the specific problem without arguing, offer to sort it offline with [FILL IN: my phone or email]. Never admit legal fault, never offer refunds or freebies I didn't approve, never share other customers' details. Mark legal, safety, injury or discrimination reviews URGENT and don't draft. Tell me to handle those myself. Never suggest asking only happy customers for reviews. Send drafts to me; I post them. Never post anything yourself.

Rules: draft first, never send or post anything external without my approval. Keep summaries short.

5. Invoice reminders, with your OK on every one

  • What it does: every Monday it lists unpaid invoices and drafts polite reminders that get firmer over time: friendly at 3 days overdue, firm at 14, final at 30. Disputes and payment-plan requests come to you, and it stops chasing as soon as an invoice is paid.
  • When it runs: Mondays at 9:00.
  • Apps it uses: QuickBooks or Xero, Stripe, your email, or a job tool like Jobber, Housecall Pro or ServiceTitan.
  • Approval: you get one numbered list and reply approve all, edit a number, or remove a number. If you don't answer, nothing is sent and the list waits for next week.

Grok Bot routine: Invoice chaser, with your OK on every reminder
Schedule: Mondays 9:00

Every Monday, list unpaid invoices. Draft reminders: friendly at 3 days overdue, firm at 14, final at 30. Send me one numbered list: the client, the invoice, the amount, days overdue and the message. Wait for my approval. When I reply approve all, send each reminder exactly as drafted. If I reply edit and a number, make my change and show me again. If I reply remove and a number, leave that client out this week. If I don't answer, send nothing and put the list at the top of next week's. Anything disputed, or a client asking for a payment plan, comes to me. Stop chasing an invoice as soon as it's paid. Report total outstanding. (Sending friendly first reminders without approval is an optional upgrade once you trust the wording. Firm and final reminders still wait for my OK.)

Rules: draft first, never send or post anything external without my approval. Keep summaries short.

Why these five first

They repeat every day or week, they follow a pattern, and a bad draft costs you a minute, not a customer. The brief only reads. The other four write drafts you check. Together they cover the jobs that slip first in a small business: email, leads, reviews and getting paid.
