Best AI agent for lead qualification: ask the right questions, then hand off

Updated · by Rosh Perera

Lead qualification is mostly asking the same three or four questions fast and sorting the answers. An agent does that well: it replies to a new inquiry, asks your questions, sorts the lead as good fit, maybe or not a fit, and hands the good ones to you with a summary. You decide who to call and what to offer. For follow-up after the first reply, see AI lead follow-up. Not sure which job fits your business first? Answer 5 quick questions in our free planner.

What to hand to an agent first

  • Write your fit rules

Three to five plain rules: service area, budget band, timeline, job type. Example: 'Good fit = in [area], needs [service], wants to start within 60 days.'

  • First reply with your questions

The agent drafts a friendly reply that answers what they asked and asks only the questions they haven't answered yet.

  • Sort the answers

When they reply, the agent tags the lead good fit, maybe or not a fit, with the reason, in your sheet or CRM.

  • Hand off the good ones

For good fits, it posts a 3-line summary for you and drafts a booking message with your calendar link.

  • Kind no for poor fits

For clear non-fits, it drafts a polite reply that points them to a better option you trust, for your OK.

Copy-ready prompt

When a new lead arrives in [inbox or form]:
1. Compare what they wrote with my fit rules: [rule 1], [rule 2], [rule 3].
2. Draft a reply that answers their question and asks ONLY the fit questions they haven't answered (max 3).
3. Add them to [lead sheet] with tag "pending".
When they reply:
- Tag "good fit", "maybe" or "not a fit" with a one-line reason.
- Good fit: post a 3-line summary for me and draft a booking message with [calendar link].
- Not a fit: draft a polite reply pointing to [alternative].
Rules:
- Never quote prices. Never use age, gender, race, religion or similar in any tag.
- Don't send anything. Post drafts here for my OK.

Works as a Grok Bot routine, a ChatGPT scheduled task or a Claude project instruction. Fill in the [brackets] first. It only writes drafts.

Grok Bot routine: Qualify property leads fast, with your OK on each reply
Schedule: Always on

When a new property inquiry arrives, within 2 minutes draft a reply that asks budget, timeline, pre-approval and area and offers real viewing times from my calendar, and send me the draft to approve. Send it only after I approve. Score the lead hot/warm/cold in my CRM and alert me for hot ones. (Sending the first reply instantly without approval is an optional upgrade once you trust the wording.)

Rules: draft first, never send or post anything external without my approval. Keep summaries short.

Setup steps

  1. Write 3 to 5 fit rules and the questions that test them.
  2. Connect your lead inbox or form to the agent.
  3. Run the prompt on last month's leads and compare its tags with yours.
  4. Fix the rules where it disagreed, then run drafts only for two weeks.
  5. Add booking messages for good fits.

Keep these human

  • Don't use protected characteristics or anything discriminatory in fit rules.
  • Pricing and offers come from you.
  • A person should review every 'not a fit' before it's sent.
  • Start in draft mode: the agent prepares, you approve, then loosen the leash one routine at a time.

FAQ

What is the best AI for qualifying leads?

Any agent that can read your lead inbox or form, ask your questions and tag answers in your sheet or CRM, with you approving replies. The prompt here works in Grok Bot, ChatGPT or Claude.

How many questions should it ask?

Three or four at most, and only the ones the lead hasn't already answered.

Can it book calls automatically?

Start by having it draft the booking message for your OK. Auto-booking is an upgrade once tags match yours.

How do I know it's tagging correctly?

Run it on old leads and compare with what actually happened.
