Best AI agent for quote follow-up: chase estimates without being pushy
Updated · by Rosh Perera
A lot of quotes go quiet because the customer got busy, not because they said no. A short, specific follow-up wins some of that work back, and it's exactly the kind of job people forget to do. An agent can read your quote sheet, find quotes with no reply and draft a check-in that names the job, for your OK. This page covers the cadence, the wording and the stop rules. To write the quotes themselves, see AI agent for quotes and proposals. Not sure which job fits your business first? Answer 5 quick questions in our free planner.

Find the quiet quotes
Each morning, the agent reads your quote sheet or invoicing tool and lists quotes sent 3, 7 and 14 days ago with no reply and no decision.
Day 3: the helpful check-in
One line that names the job and asks if they have any questions about the quote. No pressure, no discount.
Day 7: answer the likely question
Mention the most common worry for that job (timing, what's included, payment options you really offer) and offer a quick call.
Day 14: the polite close
Ask whether to keep the quote open or close it. People often answer this one.
Stop rules
Stop on any reply, a 'no', a booked job or 'do not contact'. Never send more than three follow-ups per quote.
Copy-ready prompt
Every weekday at 8:00, read [quote sheet] (columns: name, contact, job, amount, sent date, status, last contact, follow-ups sent). For each quote with status "sent", no reply and follow-ups sent < 3: - 3+ days since sent and 0 follow-ups: draft "Hi [name], just checking you got the quote for [job]. Any questions I can answer?" - 7+ days and 1 follow-up: draft a note answering the usual question for [job] (from [FAQ]) and offering a 10-minute call. - 14+ days and 2 follow-ups: draft "Should I keep the [job] quote open for you, or close it for now?" Rules: - Never change a price or offer a discount. - Skip "won", "lost", "on hold" and "do not contact". - Don't send. Post drafts here; after I approve, add 1 to follow-ups sent.
Works as a Grok Bot routine, a ChatGPT scheduled task or a Claude project instruction. Fill in the [brackets] first. It only writes drafts.
