Grok Bot for rental property owners and small investors: your first 3 bots
Updated · by Rosh Perera
If you own a handful of rentals, host short-term stays or run a small investing business, and you already have Grok Bot, start with three bots: a monthly money summary for your accountant, drafted replies to tenant and guest emails, and follow-ups for deals and contacts that went quiet. Each one writes drafts or summaries, and nothing reaches a tenant, guest or seller until you approve it. Grok Bot facts here come from xAI's Grok Bot docs and changelog and Cursor's Grok Bot help, checked 18 Oct 2026. Agent or property manager? Bot 1: a monthly money summary for each property
On the 1st of each month, the Bot sorts last month's transactions, finds receipts in your email for anything it can't place, lists what's missing and writes a summary for your accountant. That's our monthly bookkeeping template. Ask it to split the summary by property. Grok Bot can read CSV, Excel and PDF files you attach, so a bank or booking-platform export works (xAI's Files and results docs). QuickBooks Online is available to connect (Grok Bot changelog), and our QuickBooks guide covers it. Depreciation, ownership splits and tax choices stay with your accountant.
Bot 2: drafted replies to tenant and guest emails
Twice a day, the Bot sorts new email into reply, FYI and ignore, and saves a reply draft in your voice for each one that needs an answer, never sending. That's our inbox triage template. A Bot can claim its own email address and receive mail there, and email it sends from that address waits for your approval on a draft card (Grok Bot changelog), so you can forward booking and tenant emails to it. Urgent repairs, safety issues and anything about deposits or notices come straight to you.
Bot 3: follow-ups for deals and contacts that went quiet
Once a day, the Bot finds sellers, brokers, lenders and other contacts who haven't heard from you in 3 or more days, in your email or CRM, and drafts a short follow-up with one clear next step, listed for your approval. That's our lead follow-up template. Offers, prices and anything you'd sign stay with you.
Run all three through one daily list
Have each Bot hold its drafts, and add our daily approval list template so you approve, edit or reject them in one numbered list. An approval raised by a routine expires after about 10 minutes, and the action doesn't run (xAI's Approvals docs), so a list you check once a day is safer than cards you might miss. Our Grok Bot approvals guide covers the rest.
Set the schedules on purpose
Ask the Bot that owns the job to create the routine, and confirm the schedule and time zone (xAI's Skills and routines docs). Each run spends usage, and an hourly schedule or a Slack trigger on a busy channel can use a week of usage in a day (Grok Bot help: Routines). Our templates run the money summary on the 1st of each month, inbox triage twice a day, deal follow-ups daily and the approval list on weekday afternoons.
Test each one before it runs on its own
Use Test run after you create or edit a routine. A test run does real work, so test with last month's export, not live tenant or guest mail, and check it stopped at the approval point (xAI's Skills and routines docs). Run each Bot for a week, approve every draft and add each edit to its instructions. Then add the next one.
Later: a weekly review and listing copy
Once the first three run clean, two more templates fit: a Friday review of the week's numbers, stuck items and next priorities, and listing descriptions drafted from your notes for a new rental or stay. Both stay drafts-first. Letting the Bot send simple replies on its own, such as check-in details, is an optional upgrade, not the default.

Example: Grok Bot setup
Grok Bot routine: Monthly bookkeeping prep Schedule: 1st of each month On the 1st of each month, categorize last month's transactions, find receipts in my email for anything uncategorized, list missing receipts, and write a P&L summary for my accountant. Rules: draft first, never send or post anything external without my approval. Keep summaries short.

Setup steps
- Make Bot 1 with a short name and one primary job (xAI's Get started docs), and tell it the job in your first message (Grok Bot help: Onboarding): a monthly money summary per property, for my accountant.
- Attach last month's bank or booking-platform export as a CSV or spreadsheet, and check the summary against it.
- Make Bot 2 for tenant and guest emails. Connect only that inbox, or forward mail to the Bot's own address, and keep drafts on.
- Make Bot 3 for deal and contact follow-ups.
- Add the daily approval list, run all three for a week and approve every draft before you add anything else.
Keep these human
- Choosing tenants, and anything about who gets a home, stays with you. Our property managers guide covers the fair housing basics.
- Deposits, notices, rent changes and anything legal stay with you. A Bot can draft a summary for you or your adviser, never the decision.
- Your Bots share one cloud computer, and browser sessions on it are available to every Bot (xAI's Approvals docs). Keep bank logins off it and give the Bot exports instead.
- Never paste a password or one-time code in chat. Sign in yourself with Take over, then choose I'm done (xAI's Approvals docs).
- Tenants and guests should always be able to reach you. Tell every Bot to pass complaints, damage and money disputes to you with the original message.
- Start in draft mode: the agent prepares, you approve, then you loosen the leash routine by routine.

FAQ
What should a rental property owner use Grok Bot for first?
Three drafts-first jobs: a monthly money summary per property for your accountant, drafted replies to tenant and guest emails, and follow-ups for deals and contacts that went quiet. Run them through one daily approval list so nothing goes out without your OK.
Can Grok Bot read my bank or booking exports?
Yes, as attachments. Grok Bot accepts CSV, Excel and PDF files (xAI's Files and results docs). Give it exports rather than your bank login, and have your accountant check anything that affects tax.
Will it reply to tenants or guests on its own?
Not if you keep drafts on. Email drafts wait on a card for Send or Discard (Grok Bot changelog), and you can add an Ask first rule for external email in Settings → General → Auto-review (xAI's Approvals docs).
Does it work with QuickBooks?
QuickBooks Online is available to connect (Grok Bot changelog). Our QuickBooks guide covers what's official and a drafts-first setup.
I'm a real estate agent or property manager. Is this for me?
You have your own pages: see our real estate agents guide and property managers guide. This one is for owners who hold a few rentals, host short-term stays or run a small investing business.
