n8n automations for trades businesses
Trades businesses can use n8n for missed-call text-back, booking intake and invoice reminders.
What to hand to an agent first
Missed-call text-back
Phone-system webhook triggers an SMS.
Job intake
SMS details to calendar booking request.
Invoice reminders
Unpaid invoices get reminders on a schedule.
Review requests
Completed job, review link sent.
Ready-made use cases
- 01Missed-call text-back that books the job
Every missed call gets an instant text that qualifies the lead and offers a booking link. - 02Book plumbing jobs by SMS with no office staff
An agent answers inbound texts, quotes standard jobs, checks your calendar and books the slot. A plumbing owner runs bookings this way with zero office staff. - 03Invoice chaser that gets you paid
The agent tracks unpaid invoices and sends polite, escalating reminders. - 04Get more 5-star reviews automatically
After each completed job the agent sends a friendly review request and flags unhappy customers to you first. - 05Appointment reminders that cut no-shows
The agent confirms appointments the day before and handles reschedules.
Example: n8n setup
n8n workflow: Missed-call text-back that books the job When: Always on (missed calls) 1. Create a new workflow. Add a Schedule Trigger, or the app trigger for the event (e.g. new email, new form entry, webhook). 2. Add nodes that fetch the inputs this routine needs (Gmail, Google Sheets, your CRM, etc.). 3. Add an AI Agent node (connect your model: OpenAI, Anthropic, or another provider) and paste this as the system prompt: When I miss a call, text the caller within 1 minute: apologize, ask what they need, and offer two booking times from my calendar. Log the lead and notify me with a summary. 4. Send the output to yourself first (Gmail draft, Slack or Telegram message). Add a "Send and wait for response" / approval step before anything goes to a customer. 5. Test with "Execute workflow", check the output, then activate it.

Keep these human
- Emergencies should ring you, not just send a text.
- Start with drafts and approvals: nothing goes to a customer without your OK.
- Don't paste passwords, card numbers or sensitive personal data into prompts.
