A weekly cash flow report from AI: money in, money out, read-only
Updated · by Rosh Perera
A weekly cash flow report is a short summary a Bot drafts from your bookkeeping and invoice records: what came in, what went out, what's overdue and what bills are due next. Keep it read-only, have it link every figure to its source, and treat it as a starting point you check, not advice. Owners describe the problem plainly; one wrote, "Historically, I had no idea how much money I make." A weekly summary won't replace your bookkeeper, but it can put the numbers you already have in one place. We use Grok Bot as the example. Grok Bot facts here come from xAI's Grok Bot docs, its Use cases page and changelog, and Cursor's Grok Bot help, checked 20 Oct 2026. Want a pick for your exact business? What goes in the report
Keep it to one screen: money received this week, money paid out, invoices now overdue, bills due in the coming weeks, and anything unusual compared with last week. Ask for a short table, then three plain sentences. Tell the Bot to write [MISSING] instead of guessing.
Where the numbers come from
Use the systems that already hold them. "QuickBooks Online is available to connect." (Grok Bot changelog). Connecting Sheets "lets the bot read and edit cells in spreadsheets the connected Google account can edit", and "A file shared as Viewer stays view-only." (Grok Bot help: Connect apps). Share your cash sheet as Viewer if the Bot only needs to read it. Our QuickBooks guide covers safe setup.
Leave the bank out at first
You don't need to give a Bot your bank login to get a useful report: your books and invoices hold most of it. Your Bots share one cloud computer, and files and browser sessions on it are available to every Bot (xAI's Approvals docs), so keep bank logins off it.
Make it show its working
xAI's Bots docs say "Memory is not a substitute for an authoritative source" and advise you to "Ask the Bot to cite or reopen current data for consequential decisions". Ask it to link the invoice, bill or sheet row behind every figure, and to say when data looks stale.
Run it weekly
xAI's Expense Manager use case "Builds the weekly summary from your expense manager and sheets" (xAI's Use cases page). xAI's advice: "Start with a one-time task. Make it reliable, save the method as a skill, and only then automate it." (xAI's Skills and routines docs). Once it's reliable, ask the Bot that owns it to create a weekly routine and confirm the time zone.
What it must not do
No payments, transfers, refunds or changes to your books. xAI's routine advice: "Have the Bot draft, reconcile, or recommend first. Require approval for sending, purchasing, deleting, publishing, or changing production systems." (xAI's Skills and routines docs). Tax and lending decisions stay with you and your accountant.
Start from a template, not a blank page
xAI's Use cases page lists 56 jobs and its official Marketplace lists 90 public templates, as of 20 Oct 2026 (our Grok Bot template stats page). Our templates page has drafts-first versions with copy-ready prompts, and our free What should my bot do? planner picks a first job for a business.

Ready-made use cases
- 01Metrics digest without opening dashboards
The agent pulls your key numbers from Stripe, analytics and your store into one daily message.
~2h/week · estimate - 02Monthly bookkeeping prep
The agent categorizes transactions, finds missing receipts and preps a clean summary for your accountant.
~3h/week · estimate - 03Invoice chaser, with your OK on every reminder
Every Monday the agent lists unpaid invoices and drafts polite, escalating reminders. You approve each one before it sends. Sending friendly first reminders without review is an optional upgrade.
~2h/week · estimate - 04One daily list of drafts to approve
Your bots hold every email, message and post they write as a draft. Once a day (or once a week) you get one numbered list and answer approve, edit or reject for each. Nothing goes out unapproved.

Setup steps
- Pick your sources: your bookkeeping app or a cash sheet, plus your invoices.
- Make a Bot with a short name and one primary job, and in your first message tell it the work, the sources to use and when to ask for your approval, then ask it to remember that (Grok Bot help: Onboarding): each Monday, draft a cash summary from QuickBooks and my cash sheet: money in, money out, overdue invoices and bills due next, with a link to the source for every figure. Read only: never pay, move money or edit anything.
- Connect QuickBooks or Sheets, sharing the sheet as Viewer if it only needs to read.
- Run it once together, check every number, and tell the Bot each fix.
- Make it a weekly routine and read it before you plan the week.
Keep these human
- Read-only: no payments, transfers or edits to your books.
- Check every figure against its source before you act on it.
- Your Bots share one cloud computer, and files and browser sessions on it are available to every Bot (xAI's Approvals docs). Keep bank and payment logins off it at the start.
- Personal Bots no longer have a description, so lasting rules go in chat: ask the Bot to remember them, like "From now on, ask before sending any email" (Grok Bot help: Edit a Bot).
- Never paste a password or one-time code in chat. Sign in yourself with Take over, then choose I'm done (xAI's Approvals docs).
- Start in draft mode: the agent prepares, you approve, then you loosen the leash routine by routine.

FAQ
Can AI tell me my cash flow?
It can summarize what your books and invoices already show: money in, money out, overdue invoices and bills due. It can't know what isn't recorded, so check it against your accounts.
Do I need to connect my bank?
No. Start with your bookkeeping app and invoices. Keep bank logins off the Bot's shared computer (xAI's Approvals docs).
Can Grok Bot read QuickBooks?
QuickBooks Online is available to connect (Grok Bot changelog). Our QuickBooks guide covers what's official and a safe setup.
Can it pay bills or chase invoices for me?
Keep payments with you. Chasing can be drafted for your approval with our invoice reminder template.
How do I know the numbers are right?
Ask it to link the source behind every figure and to flag stale data (xAI's Bots docs), then check the first few weeks line by line.
Is this financial advice?
No. It's a summary of your own records. Decisions about tax, borrowing and spending stay with you and your accountant.
