Subscriptions and renewals check for a small shop with Grok Bot

Updated · by Rosh Perera

A renewals check is a monthly job where a Bot lists the software and supplier subscriptions your shop pays for, with the price, the next renewal date and the email or page each fact came from, then flags anything renewing in the next 30 days.

It reads and reports. It sends nothing and cancels nothing unless you say yes to that exact plan. Grok Bot 0.78.1 (27 Oct 2026) added subscription tools: the changelog says "Bots can cancel a subscription or look up its price and renewal date, and confirm with you before changing anything." Grok Bot facts here come from xAI's Grok Bot changelog and docs and Cursor's Grok Bot help, checked 29 Oct 2026. We're an independent site, not part of xAI.

How the renewals check works

  • Who it's for

Owners of a small shop, salon, cafe, trade business or online store who pay for a handful of tools each month: point of sale, booking, website, email, accounting, phone, design apps and supplier boxes. If a renewal has ever surprised you on a card statement, this is for you. Doing it for the first time? Run our one-off subscription audit first, then use this check every month.

  • What changed in Grok Bot 0.78.1

From xAI's Grok Bot changelog, v0.78.1, 27 Oct 2026, "Shopping cards and subscription templates": "The Try it, don't pay for it template starts a free trial for you and cancels it, or reminds you, before it bills." "The Find unused subscriptions template cancels plans you pick from the ones you still pay for, and Watch subscription prices checks renewal prices." "Bots can cancel a subscription or look up its price and renewal date, and confirm with you before changing anything." The prompt on this page keeps the check read-only on purpose. Cancelling stays a separate step you approve.

  • See the first table now

Paste the copy-ready prompt below into the Bot that should own the check. A new routine waits for its next scheduled time, so use Test to see the first table now (xAI's Skills and routines docs).

  • Want it as a ready-made template?

Our subscriptions and renewals check builds a similar check from your own list, weekly or monthly. It stops at drafts and never cancels anything. xAI's official 0.78.1 templates go further: the Find unused subscriptions template cancels plans you pick.

What it reports

One table per month, one row per subscription.
ColumnWhat goes in it
NameThe subscription or supplier, as the email names it
PriceExactly as shown on the receipt or page, or UNCLEAR
Renewal dateThe next renewal or billing date, or UNCLEAR
SourceThe email (sender, subject, date) or page the facts came from
FlagRenews in 30 days, price went up, paid twice, or trial turned paid
SuggestionKeep, downgrade or cancel, marked as a suggestion

Check every flagged row against your card or bank statement before you act.

Copy-ready prompt

Set up a monthly routine: on the 1st of every month at 9:00 AM, run a subscriptions and renewals check for my shop.

1. Search my connected mailbox for receipts, invoices, renewal notices, trial-ending notices and price-change emails from the last 13 months.
2. Make one table with these columns: subscription name, plan if shown, price exactly as shown, billing cycle, next renewal date, and source (the email's sender, subject and date, or the page you read it on).
3. If a price or date is not shown, write UNCLEAR. Do not guess.
4. Flag: anything renewing in the next 30 days, any price higher than the last receipt, anything that looks paid twice, and any free trial that turned paid.
5. For each flagged item, add a one-line suggestion (keep, downgrade or cancel), marked as a suggestion.

Rules: this check is read-only. Do not send, reply, unsubscribe, cancel, downgrade, buy or change any payment details. If I later ask you to cancel or change a subscription, show me the exact subscription and action first and wait for my OK. Never ask me for a password or card number in chat.

Works as a Grok Bot routine, a ChatGPT scheduled task or a Claude project instruction. Fill in the [brackets] first. It only writes drafts.

Example: Grok Bot setup

Grok Bot routine: Expense receipt digester for your books (you file every claim)
Schedule: Weekly or on paste

When I paste or forward receipts, extract date, vendor, amount, currency, tax if shown, suggested category from my list, payment method if shown, and a one-line memo. Use [FILL IN] for anything unreadable. Never guess amounts. Flag duplicates. Give me a copy-paste table and category totals for the period I ask about. Never submit expense reports, never contact banks or card issuers, never pay or refund.

Rules: draft first, never send or post anything external without my approval. Keep summaries short.

Keep it safe

  • Connect only the mailbox your receipts go to. Cursor's help says "Gmail can search and read mail, draft and send, and apply labels on the connected mailbox," so the read-only rule has to be in your prompt.
  • Add one Ask first rule. xAI's Approvals docs place the Auto-review switch under Settings > General, in the Bot section, and suggest one short, narrow rule per action. Example: "Ask first before cancelling or changing any subscription."
  • Keep passwords and card numbers out of chat. For a passkey, a CAPTCHA or a bank card verification, xAI's docs say "the Bot hands you the computer": choose Take over, finish the step, then choose I'm done.

FAQ

Can Grok Bot cancel subscriptions for me?

Since version 0.78.1 (27 Oct 2026), xAI's changelog says "Bots can cancel a subscription or look up its price and renewal date, and confirm with you before changing anything." This check stays read-only on purpose. If you want something cancelled, ask for it as a separate step and approve the exact plan first. Sign-ins and card checks stay with you.

How is this different from a subscription audit?

The audit is a one-off sweep of your email to find every recurring charge. The renewals check runs every month and looks ahead: what renews in the next 30 days, what went up in price and what looks paid twice. Do the audit once, then let the monthly check keep it current.

Will it find every subscription my shop pays for?

Only the ones that send receipts, invoices or renewal notices to the mailbox you connect. Anything billed silently, or to another inbox, won't show up, so compare the table with your card or bank statement.

Does it work for supplier subscriptions, not just software?

Yes, if the supplier emails a receipt or renewal notice. The Bot reports the price and date exactly as the email shows them and writes UNCLEAR when they're missing.
