How to automate data entry with AI: forms, emails and PDFs into a sheet
Updated · by Rosh Perera
A lot of data entry is copying the same fields from one place to another: order emails into a sheet, supplier invoices into a list, form answers into a CRM. AI is good at reading messy text and pulling out the fields you name. The trick is to keep it to a fixed set of columns, have it flag anything it isn't sure about, and check its rows before anything downstream depends on them. Pick one source and one destination
For example: booking emails into a jobs sheet, or supplier invoice PDFs into a bills list. One pair at a time.
Name the exact columns
List the fields and their format: date as YYYY-MM-DD, amount without currency symbols, phone with country code. The agent fills only those.
Flag, don't guess
Tell the agent to write 'CHECK' in a cell when a field is missing or unclear, instead of guessing.
Add rows to a review tab first
New rows land in a 'to check' tab. You glance over them and move them to the real tab.
Run it on a schedule or on arrival
Run it every hour during business hours, or when an email arrives from a named sender.
Copy-ready prompt
Every hour from 9:00 to 18:00 on weekdays, read new emails in [inbox] from [sender list] since the last run. For each email, add one row to the "to check" tab of [sheet] with these columns only: date (YYYY-MM-DD) | customer name | phone (with country code) | email | service | address | notes Rules: - Take values only from the email. If a value is missing or unclear, write CHECK. - Never edit or delete existing rows. Never write to any other tab. - After the run, post here: rows added, and how many have CHECK.
Works as a Grok Bot routine, a ChatGPT scheduled task or a Claude project instruction. Fill in the [brackets] first. It only writes drafts.

Example: Grok Bot setup
Grok Bot routine: Monthly bookkeeping prep Schedule: 1st of each month On the 1st of each month, categorize last month's transactions, find receipts in my email for anything uncategorized, list missing receipts, and write a P&L summary for my accountant. Rules: draft first, never send or post anything external without my approval. Keep summaries short.

Setup steps
- Choose one source and one sheet.
- Write the column list with formats.
- Add a 'to check' tab and give the agent access to it only.
- Paste the prompt below and run it on 20 past emails.
- Compare with what you'd have typed, fix the rules, then schedule it.
Keep these human
- Check amounts, dates and contact details before they feed invoices, payroll or orders.
- Give the agent edit access only to the review tab, not your master records, at first.
- Never paste passwords, card numbers or client ID numbers into a prompt or chat.
- Start in draft mode: the agent prepares, you approve, then loosen the leash one routine at a time.

FAQ
Can AI do data entry accurately?
It's good at pulling named fields from messy text, but it can misread. Have it flag unclear fields and check rows before they matter.
What's the best tool for AI data entry?
Any agent that can read your source (inbox, forms, files) and write to your sheet. Grok Bot connects to Google Sheets; n8n and Zapier can do it as workflows.
Can it read PDFs and scans?
Most AI tools can read text PDFs and many scans. Check the first batches carefully.
Should it write straight into my CRM?
Start with a review tab. Move to direct writes only after weeks of clean rows.
