How to turn voicemails into tasks with AI

Voicemails pile up when you're on a job, and listening to them one by one at the end of the day is slow. Many phone systems already transcribe voicemail and email you the text. Get transcripts by email
Turn on voicemail transcription in your phone or VoIP service and send the emails to an inbox the agent reads (for Grok Bot, its own email address works).
Pull out the task
For each voicemail: caller name if given, number, what they want, any address or date, and whether they're new or existing.
Sort by urgency
Tag each one urgent, today or this week, using your own words list. Anything urgent comes to you right away.
Draft a callback text
A short reply for each that confirms you got the message and offers a time to call, for your OK.
End-of-day list
At 17:00, one message with every voicemail still waiting, oldest first.

Pull out: caller name (or "unknown"), number, what they want, address or date mentioned, new or existing (check [customer sheet]). 2. Tag urgency: "urgent" if it mentions [urgent words]; "today" if they ask for a callback today; else "this week". 3. Draft a 2-line text: "Hi [name], got your message about [need]. I can call you at [time]. Does that work?" 4. If "urgent", post it here at the top with "CALL NOW". At 17:00, post every voicemail not marked "done", oldest first.
