How to get more referrals with AI: ask at the right time, thank every referrer

Updated · by Rosh Perera

Referrals usually come from customers who'd happily recommend you but are never asked. A referral routine is three small habits: ask happy customers at the right moment, make it easy to pass your name on, and thank anyone who does. An AI agent can spot the moments from your sheet, draft the asks and the thank-yous, and keep track of who referred whom. You approve every message. Not sure which job fits your business first? What to hand to an agent first

  • Spot happy customers

The agent lists customers who left a good review, replied happily to a check-in or rebooked in the last 30 days.

  • Ask at the right moment

Draft a short ask a few days after the happy moment: 'If you know anyone who needs [service], I'd be grateful if you passed my name on.' Include a link they can forward.

  • Make sharing easy

Give them one short line and your link to copy, not a form.

  • Track the source

When a new lead mentions a name, the agent adds 'referred by' in your sheet.

  • Thank every referrer

Draft a personal thank-you to the referrer whether or not the job went ahead. Any reward follows your own published referral terms.

Copy-ready prompt

Every Monday at 10:00, read [customer sheet] (columns: first name, contact, last job, happy signal, last referral ask, referred by).
1. List customers with a happy signal in the last 30 days and no referral ask in the last 6 months.
2. For each, draft a 3-line ask in my tone: thank them, one line asking them to pass my name to anyone who needs [service], and [share link].
3. For each new lead this week with "referred by" filled in, draft a thank-you to the referrer.
Rules:
- Never mention one customer's details to another.
- Rewards only as written in [referral terms]; otherwise none.
- Don't send. Post drafts here for my OK, then update "last referral ask".

Works as a Grok Bot routine, a ChatGPT scheduled task or a Claude project instruction. Fill in the [brackets] first. It only writes drafts.

After each completed job the agent drafts the same friendly review request, with your Google link, for every customer. You approve the day's list in one go, then it sends. It flags any complaint that comes back to you.

Example: Grok Bot setup

Grok Bot routine: Ask every customer for a review, with your OK on each day's list
Schedule: Daily 18:00

Every evening, draft the same short thank-you message with my Google review link: [Google review link], for every customer whose job/order completed today. Send me one numbered list: the customer's name, how you'll reach them (text or email) and the message. Wait for my approval. When I reply approve, send each message exactly as drafted. If I reply edit, make my change to the message and show me again. If I don't answer, send nothing and put the list at the top of tomorrow's. The same ask goes to everyone, whatever rating you expect. My approval is for the wording and timing, not for picking who gets asked, so never leave a customer off the list because they might be unhappy. Don't check satisfaction first to decide who gets the link, don't ask for a positive or 5-star review, and don't offer anything in return. Optional: add one line inviting private feedback by reply; it never replaces the link. If anyone replies with a complaint, draft a brief apology for me to approve and alert me immediately with details. (Sending automatically without the daily approval is an optional upgrade once you trust the wording, and it still goes to every customer.)

Rules: draft first, never send or post anything external without my approval. Keep summaries short.

  • Ask each customer once or twice a year at most.
  • Never share one customer's details with another.
  • Start in draft mode: the agent prepares, you approve, then loosen the leash one routine at a time.
