How to follow up after a sale with AI: thank-you, check-in, review and repeat

Updated · by Rosh Perera

The easiest sale is to someone who already bought, but after-sale follow-up is the first thing that slips when you're busy. A short sequence fixes that: thank them, check everything is OK, ask for a review once they're happy, and remind them when they're likely to need you again. An AI agent can draft each step from your sales or job list. You approve, and anything unhappy comes straight to you. Not sure which job fits your business first? Answer 5 quick questions in our free planner.

What to hand to an agent first

  • Day 0: thank-you

A short personal thank-you that names what they bought or the job you did.

  • Day 3 to 7: check-in

Ask if everything's working as expected, with how to reach you if not. Any problem is flagged to you, not answered by the agent.

  • After a happy reply: review ask

Only after the check-in, a short ask with your review link. See best AI agent for review requests for the rules.

  • Later: the useful reminder

When they're likely to need you again (service interval, refill, seasonal job), a reminder with an easy way to book.

  • Keep a log

The agent records each step in your sheet so nobody gets the same message twice.

Copy-ready prompt

Every day at 17:00, read [sales or jobs sheet] (columns: date, first name, contact, item or job, steps done, status).
For each customer:
- Sold today and steps done is empty: draft a 2-line thank-you naming [item or job]. Mark "thanks".
- 5 days after the sale and steps done = "thanks": draft a check-in asking if all is well. Mark "check-in".
- Replied happy to the check-in: draft a review ask with [review link]. Mark "review".
- [interval] days after the sale: draft a reminder to book or reorder with [link]. Mark "reminder".
Rules:
- Any complaint, refund or warranty mention: flag "for me" and draft nothing.
- Skip "do not contact". One message per customer per day.
- Don't send. Post the list here for my approval.

Works as a Grok Bot routine, a ChatGPT scheduled task or a Claude project instruction. Fill in the [brackets] first. It only writes drafts.

Ready-made use cases

  1. 01Ask every customer for a review, with your OK on each day's list
After each completed job the agent drafts the same friendly review request, with your Google link, for every customer. You approve the day's list in one go, then it sends. It flags any complaint that comes back to you.
    ~2h/week · estimate
  2. 02Win back and upsell past customers
The agent finds past customers due for a repeat job or upgrade and drafts an offer.
    ~3h/week · estimate
  3. 03FAQ support in your voice, with your OK on every reply
The agent drafts replies to common customer questions from your docs and hands off anything tricky. You approve them one at a time or in a batch. Auto-sending simple FAQ answers is an optional upgrade.
    ~8h/week · estimate
  4. 04Appointment reminders that cut no-shows, with your OK on each day's list
Each afternoon the agent drafts reminders for tomorrow's appointments. You approve the list in one go (approve all, edit or remove), then it sends. Reschedule replies wait for your OK too. Sending without review is an optional upgrade.
    ~3h/week · estimate
  5. 05Personal abandoned-cart follow-ups
The agent writes a personal note to shoppers who left items in cart.
    ~2h/week · estimate

Example: Grok Bot setup

Grok Bot routine: Ask every customer for a review, with your OK on each day's list
Schedule: Daily 18:00

Every evening, draft the same short thank-you message with my Google review link: [Google review link], for every customer whose job/order completed today. Send me one numbered list: the customer's name, how you'll reach them (text or email) and the message. Wait for my approval. When I reply approve, send each message exactly as drafted. If I reply edit, make my change to the message and show me again. If I don't answer, send nothing and put the list at the top of tomorrow's. The same ask goes to everyone, whatever rating you expect. My approval is for the wording and timing, not for picking who gets asked, so never leave a customer off the list because they might be unhappy. Don't check satisfaction first to decide who gets the link, don't ask for a positive or 5-star review, and don't offer anything in return. Optional: add one line inviting private feedback by reply; it never replaces the link. If anyone replies with a complaint, draft a brief apology for me to approve and alert me immediately with details. (Sending automatically without the daily approval is an optional upgrade once you trust the wording, and it still goes to every customer.)

Rules: draft first, never send or post anything external without my approval. Keep summaries short.

Setup steps

  1. Keep a sales or jobs sheet with date, customer, what they bought and a steps-done column.
  2. Write your four messages in your own words first.
  3. Paste the prompt below and run it on last week's sales.
  4. Approve the daily list for two weeks.
  5. Add the repeat reminder once the first three steps run clean.

Keep these human

  • Complaints, refunds and warranty questions go to you.
  • Respect opt-outs and marketing-consent rules, especially for the repeat-purchase reminder.
  • Ask every customer for a review the same way; no incentives.
  • Start in draft mode: the agent prepares, you approve, then loosen the leash one routine at a time.

FAQ

What should an after-sale follow-up say?

Thank them, check it's working, ask for a review once they're happy, and remind them when they'll need you again. Short and specific each time.

How soon should I follow up after a sale?

Thank-you the same day, check-in within a week, review ask after a happy reply, and the repeat reminder at the usual interval for what they bought.

Can AI handle complaints in the follow-up?

No. It should flag them to you and draft nothing.

Does this work for online stores?

Yes. Use order data instead of a jobs sheet, and your store's consent settings for marketing messages.
