Get Grok Bot to pick up new Basecamp or Trello to-dos

Updated · by Rosh Perera

Connect Basecamp or Trello from Connect apps, then ask the Bot for a scheduled routine that checks for new to-dos assigned to you and stops quietly when nothing is new. Basecamp, Trello and Asana aren't among the events that can start a routine, and their webhooks can't send the key a Grok Bot webhook routine needs, so a scheduled check is the reliable route. Facts come from Cursor's Grok Bot help, xAI's Grok Bot docs, official posts on X and Basecamp's, Trello's and Asana's developer docs, checked 20 Oct 2026. We're an independent site, not part of xAI.

How do I get Grok Bot to pick up new Basecamp or Trello to-dos?

  • Connect Basecamp or Trello

Basecamp's official Grok Bot connector launched on 14 Oct 2026, and Basecamp's Jason Fried posted that you "click the Connect Apps button (or find it wherever it might be in your version), and search for Basecamp." On 16 Oct the official Grok Bot account posted that Grok Bot now connects to Trello. Basecamp says that when you approve access you "pick Read-only access or Full access". For Asana, search Connect apps, and if there's nothing, our no-connector guide covers the other routes.

  • Why new to-dos don't show up instantly

Cursor's help says a routine can run on a schedule, or when something happens, "such as a Slack message, a GitHub, Linear, Sentry, or PagerDuty event, an email, or a webhook call." Basecamp, Trello and Asana aren't on that list, so the Bot only sees new to-dos when a routine makes it look.

  • Schedule a narrow check

Ask the Bot that owns the job: "Every hour from 9 to 6 on weekdays, check Basecamp for to-dos assigned to me since the last run. If nothing is new, stop without messaging me." xAI's docs say routine schedules must be at least five minutes apart, and Cursor's help says each run spends usage, so pick the widest schedule that's still timely.

  • Why webhooks don't work here

A Grok Bot webhook routine has its own URL and key, and Cursor's help says senders include the key as an Authorization: Bearer header. Basecamp's webhook takes only an HTTPS payload URL and a list of types. Trello posts to a callback URL and first checks it with a HEAD request that must return 200. Asana needs a handshake that echoes back an X-Hook-Secret header. None of them lets you add that Bearer header, so stay on the scheduled check (each vendor's developer docs).

  • Keep writes behind your OK

Let the Bot read and summarize freely, but have it draft comments, card moves and to-do changes for your approval. Use Test before you schedule: xAI's docs say "A test run performs real work", so use safe inputs.

Example: Grok Bot setup

Grok Bot routine: Weekly client status updates
Schedule: Fridays 12:00

Every Friday, for each active client, summarize what we did this week, results, what's next and anything I need from them. Draft as an email per client for approval.

Rules: draft first, never send or post anything external without my approval. Keep summaries short.

How do you set it up?

  1. Add Basecamp or Trello from Connect apps, starting with Read-only access where offered.
  2. Ask the owning Bot for a scheduled routine that checks for to-dos assigned to you.
  3. Tell it to stop without messaging you when nothing is new.
  4. Use Test with a safe input before you turn the schedule on.
  5. Keep comments, card moves and to-do changes as drafts you approve.

What should you keep in mind?

  • Start with Basecamp's Read-only access until you trust the Bot's summaries.
  • Don't schedule a check every few minutes unless you need it. Each run spends usage (Grok Bot help: Routines).
  • Have the Bot stop quietly when nothing is new, so the routine doesn't message you on every run.
  • Keep comments, card moves and to-do changes as drafts you approve.
  • Start in draft mode: the agent prepares, you approve, then you loosen the leash routine by routine.

FAQ

"How do you get your Grokbot to get new assigned todos/cards in a timely manner?"

Connect Basecamp or Trello, then ask the Bot for a scheduled routine that checks for to-dos assigned to you, such as hourly on workdays, and stops quietly when nothing is new. These tools can't start a routine on their own.

"I can't for the life of me get this to work with a basecamp webhook because needs to receive a custom key which basecamp won't send."

That matches Basecamp's developer docs: a webhook takes a payload URL and a list of types, with no custom headers, and a Grok Bot webhook routine needs its key as an Authorization: Bearer header (Cursor help). Use a scheduled check instead.

Does Trello work with Grok Bot?

Yes. On 16 Oct 2026 the official Grok Bot account posted that Grok Bot now connects to Trello. Add it from Connect apps.

Is there an Asana connector?

Search Connect apps on the day. If there isn't one, see our guide to apps without a Grok Bot connector.
