Grok Bot routines not working? Plain-English checks

Updated · by Rosh Perera

A routine is a job your Bot repeats on its own, such as a summary of your day every weekday morning. When one stops, the cause is usually simple. It's paused, your plan's usage ran out, an app it uses needs you to sign in again, it stopped to ask your OK and the request expired, or it runs at a different time than you think. This guide only uses behaviour xAI documents in its Grok Bot changelog and guides, checked 18 Oct 2026. Everything else is a check to try, not a known fix. Some owners search for a "routine sync failed" message. We couldn't find that wording on xAI's pages, so we won't guess what it means. Work through the checks below. If you're new, start with our Grok Bot setup guide. We're an independent site, not part of xAI.

What to hand to an agent first

  • Check it isn't paused

You can pause a routine and resume it later (Grok Bot changelog). Right-click the routine in the Bot's details pane to see Pause, Resume, Test, Edit and Delete. If you see Resume, it's paused. Grok Bot also shows a notice when routines were paused while you were away, and a pause or resume that fails now shows an error (Grok Bot changelog).

  • Check your weekly usage

Your plan includes a set amount of Grok Bot usage each week (x.ai). Routine runs are Bot work, so they use it too. When included usage runs out, Grok Bot shows a usage limit notice, and the chat shows a card that says why a Bot couldn't reply. Settings > Usage & Billing shows your weekly usage and when it resets (Grok Bot changelog). Our usage limits guide shows how to make a week go further, and our free Grok Bot usage planner shows which of your routines run most.

  • Check the apps it uses are still signed in

A routine that reads Gmail, Slack or another app can't work if that app needs you to sign in again. A connector card that needs a fresh sign-in shows Authorize for that account (Grok Bot changelog). Open Connect apps in the sidebar and look for anything asking you to sign in. An app that stops answering times out after three minutes so the Bot can carry on, so a slow app can leave a run half done. For Gmail, see our Gmail sign-in guide. Our connectors list shows the other apps xAI names.

  • Check when it's meant to run

Hourly, interval and daily routines count from when you created them (Grok Bot changelog). For example, an hourly routine made at 9:20 would run at about 20 past each hour, not on the hour. A one-time reminder shows Once with its date and time. After you save a routine, the Bot sums up what it does and who gets the result. If the result goes somewhere you don't look, it can seem like nothing ran.

  • Check for an approval that expired or was never answered

A routine can look like it never ran when it actually stopped to ask you. An approval from work that started without you, such as a routine, a trigger or a message from another Bot, expires after about 10 minutes. The card then shows Expired, and the action doesn't run (xAI's Approvals docs). Open the run's chat and look for an Expired card. To finish the task, ask the Bot to try again (xAI's Approvals docs). Approval requests don't appear in group chats (xAI's Message and collaborate docs), so look in the Bot's own chat. To catch the next one, turn on notifications for approval requests (xAI's Mobile docs), or have the routine write drafts for one daily list instead of asking mid-run. When you test a routine, check whether it stopped at the approval point you meant (xAI's Skills and routines docs). Our Grok Bot approvals guide shows the full setup.

  • Starting it from a webhook? Find the key

If another app starts your routine by calling it (a webhook), that app needs the routine's URL and key. Cursor's Grok Bot help says to ask the Bot to add a webhook trigger to the routine, then open the routine on desktop: click the Bot's name at the top of the chat, find Routines on the Details tab and click the routine (Grok Bot help: Routines). Its Webhook section shows three fields. POST to is the URL, key is the secret, and header is the full Authorization: Bearer line, ready to copy. Click a field to copy it (Grok Bot help: Routines). The phone's routine view the help page describes lists Active, Schedule, Next run, Instruction and Run history, not the key, so use the desktop app. A 200 reply means a run started, not that it finished, so check the Bot's chat for the result. Any other reply means no run started: check the routine isn't paused and that the call uses the current key (Grok Bot help: Routines). The help page doesn't say how to change or reset a key, so we won't guess.

  • Run it once by hand

Right-click the routine and choose Test (Grok Bot changelog). Each run opens in its own chat, so you can read exactly what happened. If you message the Bot while a routine is running, the routine runs again afterward. So a run you thought was lost may just be waiting behind your message.

  • Seeing "routine sync failed"?

That isn't an official Grok Bot error message. We couldn't find that wording on xAI's pages, checked 18 Oct 2026, so we won't guess what causes it. What xAI does document is this: when routines fail to load, the app shows the error with Try again and keeps what it last loaded (Grok Bot changelog). So press Try again first. Then work through these checks, in order. Does an app the routine uses show Authorize in Connect apps? Sign in again. Quit Grok Bot and open it again. Choose Check for Updates in the app menu (Grok Bot changelog). Look at the routine's schedule, because hourly and daily routines count from when you made them. Last, right-click the routine, choose Pause, then Resume, then Test. If it still fails, send feedback with what you saw.

Setup steps

  1. Open the Bot and find the routine in its details pane. Right-click it. If you see Resume, press it.
  2. Open Settings > Usage & Billing. If this week's usage is used up, wait for the reset date shown there, or set a spend limit you're happy with.
  3. Open Connect apps in the sidebar. If any app the routine uses shows Authorize, click it and sign in again.
  4. Right-click the routine and choose Test. Read the run in its own chat.
  5. Still stuck? Ask the Bot: why didn't my routine run, and what do you need from me? If that doesn't solve it, use Send Feedback under Support in the account menu (Grok Bot changelog).

Keep these human

  • Don't fix a stuck routine by giving it more power. If a routine fails when it tries to send, keep drafts on and approve by hand until you know why. The Disable drafts for this Bot button lets a Bot send straight away (Grok Bot changelog). Leave it off.
  • Keep Grok Bot up to date. Many routine and sign-in fixes are recent. Automatic Updates is on by default and restarts Grok Bot while you're away. If you turned it off, check Settings > Updates (Grok Bot changelog).
  • Pausing or deleting a routine also cancels runs that were waiting, and deleting stops all future runs (Grok Bot changelog). Pause it instead if you might want it back.
  • If the Computer tab shows a Wake button, the Bot's computer is asleep. Press Wake, then test the routine again (Grok Bot changelog). That's a check, not a known cause.
  • Before you ask for help, write down what you checked and what you saw. Never paste passwords or customer details into feedback.

FAQ

Why didn't my Grok Bot routine run?

The documented causes to check first: the routine is paused, your weekly usage ran out, an app it uses needs a fresh sign-in, an approval it asked for expired, or it runs at a different time than you expected. Each one has a check above. Then press Test to run it once by hand.

My routine stopped partway. Did an approval expire?

It may have. Approvals from a routine, a trigger or another Bot expire after about 10 minutes, the card shows Expired, and the action doesn't run (xAI's Approvals docs). Ask the Bot to try again. An expired card may offer Always allow this in the future, which adds a rule to your Allow automatically rules without running the expired action (xAI's Approvals docs). Use it only for an action you'd approve every time. Our Grok Bot approvals guide covers the safer option: drafts in one daily list.

Do Grok Bot routines run when my computer is off?

Bots work on a cloud computer that all your Bots share (xAI's FAQ), and xAI says they keep working 24/7, even when your laptop is closed (x.ai). A job that needs files or apps on your own computer is different, because that computer has to be on and connected.

What does "Grok Bot routine sync failed" mean?

It isn't an official Grok Bot error message. We couldn't find that wording on xAI's pages, checked 18 Oct 2026. The closest thing xAI documents: when routines fail to load, the app shows the error with Try again (Grok Bot changelog). Press Try again. Then check the app's sign-in in Connect apps, reopen Grok Bot, check for updates, and pause, resume and test the routine. If it still fails, send feedback from Support in the account menu with what you saw.

My routine ran, but I never saw the result. Where did it go?

After you save a routine, the Bot sums up what it does and who receives the result, and each run delivers there (Grok Bot changelog). Each run also opens in its own chat. Ask the Bot where the routine sends its results, and change it if you need to.

Where do I find the key to start a Grok Bot routine from a webhook?

In the desktop app. Ask the Bot to add a webhook trigger to the routine, then open the routine from the Bot's details. Its Webhook section shows POST to (the URL), key (the secret) and header (the full Authorization: Bearer line), and you click a field to copy it (Grok Bot help: Routines). If calls stop starting runs, check the routine isn't paused and that the sender uses the current key. The help page doesn't say how to reset a key.

Is there a ready-made routine that's hard to break?

Start with one simple routine that only reads, like a morning summary. Our free Starter Kit has four copy-paste agent prompts. The One-Person AI Business Pack ($29 one-time, plus local tax where it applies) adds a guardrail block with escalation rules and a 7-day install plan, and the pack page offers a done-for-you setup of one workflow ($149 one-time, plus local tax where it applies).
