Grok Bot for accountants and bookkeepers: your first 3 bots
Updated · by Rosh Perera
Grok Bot can take three jobs off an accounting or bookkeeping practice: a sorted inbox with reply drafts, polite chasers for missing documents and month-end prep for each client. It drafts and you approve, so nothing reaches a client without your OK. If you run a small accounting, tax or bookkeeping practice and already have Grok Bot, start with these three bots, not a big team. Grok Bot facts here come from xAI's Grok Bot docs, its Use cases page and changelog, and Cursor's Grok Bot help, checked 19 Oct 2026. Running your own business's books? Our bookkeeping guide is the owner's side. Want a pick for your exact business? Try our free What should my bot do? planner. We're an independent site, not part of xAI.

Bot 1: a sorted inbox with reply drafts
Twice a day, the Bot sorts new client email into reply, waiting on a document and FYI, and saves a reply draft for each one that needs an answer, never sending. That's our inbox triage template. xAI's Inbox Manager use case "drafts replies and cleanup. Every send stays behind your approval" (xAI's Use cases page). Advice, figures and deadlines in a reply are yours to check before it goes.
Bot 2: chasers for missing documents
Once a week, the Bot lists each client still missing a statement, receipt or form and drafts a short, polite reminder naming exactly what's missing. Overdue fees go through our invoice chaser template, with your own payment terms. A Bot can write an email as a draft for you to review, then Send or Discard it (Grok Bot changelog).
Bot 3: month-end prep for each client
At month end, the Bot works through a client's exports, flags transactions it can't place, matches receipts it finds in email and writes a short note of what's missing. That's our monthly bookkeeping template. Grok Bot reads CSV files, PDFs, and Word and Excel files you attach (xAI's Files and results docs), and QuickBooks Online is available to connect (Grok Bot changelog). Our QuickBooks guide covers it. You review and post every entry.
Start from xAI's own templates
xAI's Use cases page lists 56 jobs and its official Marketplace lists 90 public templates, as of 20 Oct 2026 (our Grok Bot template stats page). Each use case has an Add to Grok Bot button (xAI's Use cases page). For a practice, the closest official ones are Expense Manager, which "logs new receipts from email", and Invoice Coordinator, which "nudges the right owner when something needs a human" (xAI's Use cases page). Our templates page has drafts-first versions of the jobs in this guide, with copy-ready prompts.
Run all three through one daily list
Have each Bot hold its drafts, and add our daily approval list template so you approve, edit or reject them in one numbered list. An approval raised by a routine expires after about 10 minutes, and the action doesn't run (xAI's Approvals docs), so a list you check once a day is safer than cards you might miss. Our Grok Bot approvals guide covers the rest.
Set the schedules on purpose
Ask the Bot that owns the job to create the routine, and confirm the schedule and time zone (xAI's Skills and routines docs). Each run spends usage, and an hourly schedule or a Slack trigger on a busy channel can use a week of usage in a day (Grok Bot help: Routines). Our templates run inbox triage twice a day, document chasers weekly and month-end prep on the 1st of each month.
Test each one before it runs on its own
Use Test run after you create or edit a routine. A test run does real work, so test with a closed month from a test file, not a live client's books and check it stopped at the approval point (xAI's Skills and routines docs). Run each Bot for a week, approve every draft and tell it each edit you made. Then add the next one.
Later: deadline reminders with a checklist
Once the first three run clean, a weekly routine can draft a reminder for each client before their filing deadline, listing only what's still missing. Prompt: "Every Monday at 8:00 AM, list clients with a filing deadline in the next [30] days. For each one, draft a reminder with the deadline date and a checklist of documents still missing from my notes. Friendly but clear. Show me the drafts."

Setup steps
- Make Bot 1 with a short name and one primary job, and in your first message tell it the work, the sources to use and when to ask for your approval, then ask it to remember that (Grok Bot help: Onboarding): sort new client email twice a day and save reply drafts. Never send.
- Connect only your work inbox and test Bot 1 on last week's mail.
- Make Bot 2 for missing-document chasers, with your client list and what each still owes you.
- Make Bot 3 for month-end prep, and attach a test client's exports as CSV or Excel first.
- Add the daily approval list, run all three for a week and approve every draft before you add anything else.
Keep these human
- Tax positions, filings, advice and anything you sign stay with you. A Bot can prepare and draft, never decide.
- Client financial data is sensitive. Connect only the inbox and accounting file the job needs, and give the Bot exports instead of bank logins.
- Your Bots share one cloud computer, and files and browser sessions on it are available to every Bot (xAI's Approvals docs). Keep bank and payment logins off it at the start.
- Never paste a password or one-time code in chat. Sign in yourself with Take over, then choose I'm done (xAI's Approvals docs).
- Personal Bots no longer have a description, so lasting rules go in chat: ask the Bot to remember them, like "From now on, ask before sending any email" (Grok Bot help: Edit a Bot).
- Letters from the tax office aren't routine email. Tell the Bot to flag them as urgent at the top of its summary.
- Keep chasers short: list only what's still missing, not every document you might ever need.
- Start in draft mode: the agent prepares, you approve, then you loosen the leash routine by routine.

FAQ
What can Grok Bot do for an accountant or bookkeeper?
Start with three drafts-first jobs: a sorted inbox with reply drafts, polite chasers for missing documents, and month-end prep that flags what it can't place. You review everything.
Can Grok Bot connect to QuickBooks?
QuickBooks Online is available to connect (Grok Bot changelog). Our QuickBooks guide covers setup. Start with read-only jobs and post entries yourself.
What files can it read?
CSV, PDF, Word and Excel files you attach, among others (xAI's Files and results docs). Exports work better than giving it bank logins.
Will it send messages to clients on its own?
Not if you keep drafts on. A Bot can write an email as a draft for you to review, then Send or Discard it (Grok Bot changelog), and you can add an Ask first rule for external email in Settings → General → Auto-review (xAI's Approvals docs).
Are there official Grok Bot templates for this?
xAI's Use cases page lists 56 jobs and its Marketplace lists 90 public templates, as of 20 Oct 2026 (our Grok Bot template stats page). None is made for this business type, so start from the closest ones named in this guide and set your own rules in the first message.
Can it file returns or give tax advice?
No. Keep filings, tax positions and advice with you. Use it to sort, chase and prepare, with every draft approved by you.
What about client confidentiality?
Follow your professional rules, and connect only the data each routine needs.
