What can Grok Bot do for an independent insurance agent? Your first 3 bots
Updated · by Rosh Perera
Grok Bot can take three jobs off an insurance agent: reminder drafts for upcoming renewals, follow-ups for quotes that went quiet and a prep note before each client review. It drafts and you approve, so nothing reaches a client without your OK, and coverage advice always stays with you. If you run an independent agency or sell insurance on your own and already have Grok Bot, start with these three bots, not a big team. Grok Bot facts here come from xAI's Grok Bot docs, its Use cases page and changelog, and Cursor's Grok Bot help, checked 20 Oct 2026. Want a pick for your exact business? Pick your first 3 bots in 5 quick questions →Which jobs can an insurance agency hand to Grok Bot first?
Bot 1: reminder drafts for upcoming renewals
Once a week, the Bot reads a renewals export you give it and drafts a short note to each client renewing next month, asking whether anything has changed and offering a time to talk. That's our client onboarding template, used for renewals. xAI's Renewal Desk Operator use case starts with "Walk into every renewal already briefed." (xAI's Use cases page). Give it names and dates only, never policy numbers or personal ID numbers.
Bot 2: follow-ups for quotes that went quiet
Once a day, the Bot finds prospects who got a quote and haven't replied in 3 or more days, and drafts a short follow-up with one clear next step. That's our quote follow-up template. A Bot can write an email as a draft for you to review, then Send or Discard it (Grok Bot changelog). Premiums and terms only come from the quote itself.
Bot 3: a prep note before each client review
Before each review meeting, the Bot reads your calendar and notes and writes a short prep note: who's coming, what they have with you, life changes they mentioned and questions to ask. That's our meeting prep template. xAI's Meeting Prep Buddy use case "Builds prep packs from calendar, notes, CRM, Gong, and Slack" (xAI's Use cases page).
Start from xAI's own templates
xAI's Use cases page lists 56 jobs and its official Marketplace lists 90 public templates, as of 20 Oct 2026 (our Grok Bot template stats page). Each use case has an Add to Grok Bot button (xAI's Use cases page). For an agent, the closest official ones are Meeting Prep Buddy, Renewal Desk Operator and Account Manager: "Keep every key account warm without rebuilding context each time." (xAI's Use cases page). Our templates page has drafts-first versions of the jobs in this guide, with copy-ready prompts.
Run all three through one daily list
Have each Bot hold its drafts, and add our daily approval list template so you approve, edit or reject them in one numbered list. An approval raised by a routine expires after about 10 minutes, and the action doesn't run (xAI's Approvals docs), so a list you check at the end of each day is safer than cards you might miss. Our Grok Bot approvals guide covers the rest.
Set the schedules on purpose
Ask the Bot that owns the job to create the routine, and confirm the schedule and time zone (xAI's Skills and routines docs). Each run spends usage, and an hourly schedule or a Slack trigger on a busy channel can use a week of usage in a day (Grok Bot help: Routines). Our templates run renewal drafts weekly, quote follow-ups daily and prep notes each morning.
Test each one before it runs on its own
Use Test run after you create or edit a routine. A test run does real work, so test with a closed renewal or made-up client, not a live policyholder and check it stopped at the approval point (xAI's Skills and routines docs). Run each Bot for a week, approve every draft and tell it each edit you made. Then add the next one.
Quotes going quiet and client reviews to prep for?
Read every routine before you connect a client file. The pack has quote follow-ups and a prep note before each client meeting pre-written, drafts only, plus the guardrail block that sends complaints and anything legal or regulatory straight to you.

Keeps the quotes you've sent and drafts a polite follow-up for each one still waiting. You approve every message before it goes out.

30 minutes before a call you get who they are, what they want, past emails and suggested questions.

~4h/week · estimate - 05One daily list of drafts to approve

Example: Grok Bot setup
Grok Bot routine: Client onboarding, with your OK on the welcome email Schedule: On new payment When a new client pays, draft my welcome email with the intake form and kickoff booking link and send me the draft to approve. Send it only after I approve; if I don't answer, send nothing and remind me. Create their project page in Notion from my template. If they haven't booked in 48h, tell me and draft a short nudge for my approval. (Sending the welcome email automatically once you trust the template is an optional upgrade.) Rules: draft first, never send or post anything external without my approval. Keep summaries short.

Setup steps
- Make Bot 1 with a short name and one primary job, and in your first message tell it the work, the sources to use and when to ask for your approval, then ask it to remember that (Grok Bot help: Onboarding): draft a renewal check-in for each client renewing next month from my export, for my approval. Never send, never advise on coverage.
- Give it a renewals export with names and dates only, and test on last month's renewals.
- Make Bot 2 for quote follow-ups. Connect only your work inbox and keep drafts on.
- Make Bot 3 for review prep notes from your calendar and notes.
- Add the daily approval list, run all three for a week and approve every draft before you add anything else.
Keep these human
- Coverage advice, recommendations, binding and claims decisions stay with you as the licensed agent. A Bot prepares and drafts, never advises.
- Never paste policy numbers, personal ID numbers, health details or card numbers into chat. Give the Bot names and dates only.
- Cursor's help says a connected app can do only what that account can already do (Grok Bot help: Connect apps), so connect an account that only reaches what the job needs.
- Your Bots share one cloud computer, and files and browser sessions on it are available to every Bot (xAI's Approvals docs). Keep bank and payment logins off it at the start.
- Personal Bots no longer have a description, so lasting rules go in chat: ask the Bot to remember them, like "From now on, ask before sending any email" (Grok Bot help: Edit a Bot).
- Start in draft mode: the agent prepares, you approve, then you loosen the leash routine by routine.

FAQ
What can Grok Bot do for an insurance agent?
Start with three drafts-first jobs: reminder drafts for upcoming renewals, follow-ups for quotes that went quiet, and a prep note before each client review. You approve every send.
Is there an official Grok Bot template for insurance?
Not by that name. Renewal Desk Operator, Meeting Prep Buddy and Account Manager on xAI's Use cases page are the closest (xAI's Use cases page).
Can Grok Bot give coverage advice?
Don't let it. Coverage advice, binding and claims stay with you. Tell every Bot to pass those questions to you.
Will it send messages to clients on its own?
Not if you keep drafts on. A Bot can write an email as a draft for you to review, then Send or Discard it (Grok Bot changelog), and you can add an Ask first rule for external email in Settings → General → Auto-review (xAI's Approvals docs).
Where do I put the Bot's rules?
In chat. Personal Bots no longer have a description; for a lasting rule, ask the Bot to remember it (Grok Bot help: Edit a Bot). A Team Bot you own or manage still has a description.
What client data should I give it?
Names, dates and your notes. Never policy numbers, personal ID numbers, health details or card numbers in chat.
