Grok Bot for recruiters: your first 3 bots (drafts first)
Updated · by Rosh Perera
Grok Bot can take three jobs off a recruiter: outreach drafts for shortlisted candidates, interview scheduling you confirm and a weekly update for each client. It drafts and you approve, so nothing reaches a client without your OK. If you recruit for clients or run a small agency and already have Grok Bot, start with these three bots, not a big team. Grok Bot facts here come from xAI's Grok Bot docs, its Use cases page and changelog, and Cursor's Grok Bot help, checked 19 Oct 2026. Hiring for your own business instead? Our hiring admin guide fits better. Want a pick for your exact business? Try our free What should my bot do? planner. We're an independent site, not part of xAI.
Pick your first 3 bots in 5 quick questions →What to hand to an agent first
Bot 1: outreach drafts for shortlisted candidates
For each role, you give the Bot the brief and your shortlist, and it drafts a short, personal first message per candidate, plus a follow-up for anyone quiet after 3 or more days. That's our lead follow-up template, used for candidates. xAI's Talent Scout use case "drafts outreach in your voice, skips people already in the ATS, and handles scheduling once you approve" (xAI's Use cases page).
Bot 2: interview scheduling you confirm
When a candidate and client agree to talk, the Bot checks free time and drafts the invite and confirmation emails for you to approve. Cursor's help says the Google Calendar app can check free time, and create and update events on calendars you can edit (Grok Bot help: Connect apps). xAI's Calendar Coordinator use case "Schedules across calendars and chases the holds nobody else has time to chase" (xAI's Use cases page).
Bot 3: a weekly update for each client
Every Friday, the Bot drafts one update per open role from your notes: who's in process, interview dates, feedback waiting and what you need from the client. That's our weekly client update template. A Bot can write an email as a draft for you to review, then Send or Discard it (Grok Bot changelog).
Start from xAI's own templates
xAI's Use cases page lists 56 jobs and its official Marketplace lists 90 public templates, as of 20 Oct 2026 (our Grok Bot template stats page). Each use case has an Add to Grok Bot button (xAI's Use cases page). For a recruiter, the closest official ones are Talent Scout, Hiring Screener and Calendar Coordinator (xAI's Use cases page). Our templates page has drafts-first versions of the jobs in this guide, with copy-ready prompts.
Screening stays your call
xAI's Hiring Screener use case "Scores applications or work samples against a defined bar and hands off an ATS-ready review" (xAI's Use cases page). If you use it, write the bar yourself, read every application it scores and make every reject or advance decision yourself. Hiring rules differ by place, so check yours before using any automated scoring.
Run all three through one daily list
Have each Bot hold its drafts, and add our daily approval list template so you approve, edit or reject them in one numbered list. An approval raised by a routine expires after about 10 minutes, and the action doesn't run (xAI's Approvals docs), so a list you check at the end of each day is safer than cards you might miss. Our Grok Bot approvals guide covers the rest.
Set the schedules on purpose
Ask the Bot that owns the job to create the routine, and confirm the schedule and time zone (xAI's Skills and routines docs). Each run spends usage, and an hourly schedule or a Slack trigger on a busy channel can use a week of usage in a day (Grok Bot help: Routines). Our templates run candidate follow-ups daily, scheduling when a match is agreed and client updates on Fridays.

Example: Grok Bot setup
Grok Bot routine: Never miss a lead follow-up Schedule: Daily 11:00 Every day, find leads that haven't heard from me in 3+ days (CRM or email). For each, draft a short follow-up that references our last conversation and offers one clear next step. List them for approval, oldest first. Rules: draft first, never send or post anything external without my approval. Keep summaries short.

Setup steps
- Make Bot 1 with a short name and one primary job, and in your first message tell it the work, the sources to use and when to ask for your approval, then ask it to remember that (Grok Bot help: Onboarding): draft first messages and follow-ups for the candidates on my shortlist, for my approval. Never send.
- Connect only your work inbox and test Bot 1 on a role you've already filled.
- Make Bot 2 for interview scheduling. Connect your calendar and confirm every invite yourself.
- Make Bot 3 for Friday client updates from your notes.
- Add the daily approval list, run all three for a week and approve every draft before you add anything else.
Keep these human
- Rejecting, advancing and ranking candidates stay with you. A Bot can summarise against your written bar, never decide.
- Candidate data is personal. Connect only the inbox, calendar and files the job needs, and don't paste CVs into public tools.
- Offers, fees and anything a candidate or client signs stay with you.
- Your Bots share one cloud computer, and files and browser sessions on it are available to every Bot (xAI's Approvals docs). Keep bank and payment logins off it at the start.
- Personal Bots no longer have a description, so lasting rules go in chat: ask the Bot to remember them, like "From now on, ask before sending any email" (Grok Bot help: Edit a Bot).
- Start in draft mode: the agent prepares, you approve, then you loosen the leash routine by routine.

FAQ
What can Grok Bot do for a recruiter?
Start with three drafts-first jobs: outreach drafts for shortlisted candidates, interview scheduling you confirm, and a weekly update for each client. You approve every send.
Is there an official Grok Bot recruiting template?
Yes. xAI's Use cases page includes Talent Scout and Hiring Screener under Recruiting & People (xAI's Use cases page). Keep every hiring decision with you.
Can Grok Bot schedule interviews?
With Google Calendar connected, it can check free time and create and update events on calendars you can edit (Grok Bot help: Connect apps). Have it draft invites and confirm them yourself.
Will it send messages to clients on its own?
Not if you keep drafts on. A Bot can write an email as a draft for you to review, then Send or Discard it (Grok Bot changelog), and you can add an Ask first rule for external email in Settings → General → Auto-review (xAI's Approvals docs).
Where do I put the Bot's rules?
In chat. Personal Bots no longer have a description; for a lasting rule, ask the Bot to remember it (Grok Bot help: Edit a Bot). A Team Bot you own or manage still has a description.
Should Grok Bot screen out candidates?
No. It can summarise applications against a bar you write, but rejecting and advancing candidates stays with you. Check the hiring rules where you recruit.
