Grok Bot for lawyers and small law firms: your first 3 bots

Updated · by Rosh Perera

Grok Bot can take three admin jobs off a small law firm: a sorted inbox with reply drafts, a prep note before client meetings and a weekly status update for each client. It drafts and you approve, so nothing reaches a client without your OK, and advice, filings and deadlines stay with you. If you're a solo lawyer or run a small firm and already have Grok Bot, start with these three bots, not a big team. Grok Bot facts here come from xAI's Grok Bot docs, its Use cases page and changelog, and Cursor's Grok Bot help, checked 19 Oct 2026. This guide is about admin, not legal work. What to hand to an agent first

  • Bot 1: a sorted inbox with reply drafts

Twice a day, the Bot sorts new email into urgent, needs a reply and FYI, and saves a reply draft for routine messages such as scheduling or document requests, never sending. That's our inbox triage template. xAI's Inbox Manager use case "surfaces urgent and blocked threads, and drafts replies and cleanup" (xAI's Use cases page). Anything that reads as legal advice is yours to write.

  • Bot 2: a prep note before client meetings

Before each meeting, the Bot reads your calendar and the matter notes you point it to, and writes a short prep note: who's attending, where things stand, open questions and documents to bring. That's our meeting prep template. xAI's Contract Desk use case "Summarizes by stage and owner, pulls key terms, and flags blocked reviews" (xAI's Use cases page), which fits firms with a steady flow of agreements. You check every term against the document itself.

  • Bot 3: a weekly status update for each client

Every Friday, the Bot drafts one plain-English update per active matter from your notes: what happened, what's next and anything you need from the client. That's our weekly client update template. Tell it never to predict an outcome, promise a date or quote a fee you haven't given it.

  • Start from xAI's own templates

xAI's Use cases page lists 56 jobs and its official Marketplace lists 90 public templates, as of 20 Oct 2026 (our Grok Bot template stats page). Each use case has an Add to Grok Bot button (xAI's Use cases page). For a small firm, the closest official ones are Inbox Manager, Contract Desk and Meeting Prep Buddy (xAI's Use cases page). Our templates page has drafts-first versions of the jobs in this guide, with copy-ready prompts.

  • Run all three through one daily list

Have each Bot hold its drafts, and add our daily approval list template so you approve, edit or reject them in one numbered list. An approval raised by a routine expires after about 10 minutes, and the action doesn't run (xAI's Approvals docs), so a list you check at the end of each day is safer than cards you might miss. Our Grok Bot approvals guide covers the rest.

  • Set the schedules on purpose

Ask the Bot that owns the job to create the routine, and confirm the schedule and time zone (xAI's Skills and routines docs). Each run spends usage, and an hourly schedule or a Slack trigger on a busy channel can use a week of usage in a day (Grok Bot help: Routines). Our templates run inbox triage twice a day, prep notes each morning and client updates on Fridays.

  • Test each one before it runs on its own

Use Test run after you create or edit a routine. A test run does real work, so test with a closed matter or made-up notes, not a live client file and check it stopped at the approval point (xAI's Skills and routines docs). Run each Bot for a week, approve every draft and tell it each edit you made. Then add the next one.

  • Later: intake reply drafts

Prompt: "When a new enquiry arrives, draft a reply: thank them, say we will review and get back to them, and ask for their full name, the other parties involved, the type of matter and any deadline they know of. Add a line that this is not legal advice and no lawyer-client relationship exists yet. Do not comment on their case. Save it for a lawyer to approve." The other parties' names feed your conflict check.

  • Later: a weekly key dates list

Prompt: "Every Friday at 3:00 PM, read active matter notes and list every date in the next [21] days with the matter name and what is due. Mark anything within [5] days as URGENT. Send only to the responsible lawyer."

Example: Grok Bot setup

Grok Bot routine: Inbox triage with drafted replies
Schedule: Twice daily 9:00 and 15:00

Twice a day, go through new emails. Label each as Reply, FYI or Ignore. For Reply, write a draft in my voice (short, friendly, direct) and save it as a draft, never send. Send me a list of drafts to approve and any FYIs worth knowing.

Rules: draft first, never send or post anything external without my approval. Keep summaries short.

Setup steps

  1. Make Bot 1 with a short name and one primary job, and in your first message tell it the work, the sources to use and when to ask for your approval, then ask it to remember that (Grok Bot help: Onboarding): sort new email twice a day and save reply drafts for routine admin only. Never send, never give legal advice.
  2. Connect only the inbox the job needs and test Bot 1 on last week's mail.
  3. Make Bot 2 for meeting prep notes from your calendar and the matter notes you point it to.
  4. Make Bot 3 for Friday client updates, and approve each one.
  5. Add the daily approval list, run all three for a week and approve every draft before you add anything else.

Keep these human

  • Legal advice, filings, court deadlines and anything you sign stay with you. A Bot drafts admin, never advice.
  • Your duties on client confidentiality apply to every tool you use. Decide what client email and files a Bot may read before you connect anything.
  • Cursor's help says a connected app can do only what that account can already do (Grok Bot help: Connect apps), so connect an account that only reaches what the job needs.
  • Your Bots share one cloud computer, and files and browser sessions on it are available to every Bot (xAI's Approvals docs). Keep bank and payment logins off it at the start.
  • Personal Bots no longer have a description, so lasting rules go in chat: ask the Bot to remember them, like "From now on, ask before sending any email" (Grok Bot help: Edit a Bot).
  • The Bot's dates list is a cross-check, not your official diary. A person checks it against your real system.
  • Start in draft mode: the agent prepares, you approve, then you loosen the leash routine by routine.

FAQ

What can Grok Bot do for a law firm?

Admin, not legal work. Start with a sorted inbox with reply drafts, a prep note before client meetings and a weekly status update draft for each client. You approve everything.

Is there an official Grok Bot template for lawyers?

Not by that name. Contract Desk, Inbox Manager and Meeting Prep Buddy on xAI's Use cases page are the closest (xAI's Use cases page).

Can it see all my client files?

A connected app can do only what the authorized account can already do, and it can't raise your access (Grok Bot help: Connect apps). Connect an account that only reaches what the job needs.

Will it send messages to clients on its own?

Not if you keep drafts on. A Bot can write an email as a draft for you to review, then Send or Discard it (Grok Bot changelog), and you can add an Ask first rule for external email in Settings → General → Auto-review (xAI's Approvals docs).

Where do I put the Bot's rules?

In chat. Personal Bots no longer have a description; for a lasting rule, ask the Bot to remember it (Grok Bot help: Edit a Bot). A Team Bot you own or manage still has a description.

Can Grok Bot give legal advice to clients?

Don't let it. Keep advice, filings and deadlines with you, and tell every Bot to pass anything legal to you rather than reply.
