What can Grok Bot do for a retail store? Your first 3 bots

Updated · by Rosh Perera

Grok Bot can take three jobs off a retail store: reply drafts for customer questions about stock, hours and orders, replies to your reviews, and posts drafted from your own product photos. It drafts and you approve, so nothing reaches a customer without your OK, and refunds, prices and stock promises stay with you. This guide is for independent shops, boutiques and gift, hardware or specialty stores with a physical counter. Selling online too? See our Shopify guide. Grok Bot facts here come from xAI's Grok Bot docs, its Use cases page and changelog, and Cursor's Grok Bot help, checked 20 Oct 2026. Want a pick for your exact business? What to hand to an agent first

  • Bot 1: reply drafts for customer questions

The Bot sorts your shop inbox and drafts replies to the questions you get every week: is it in stock, are you open, can I collect, where's my order. You approve each one. That's our inbox triage template, and our FAQ support template drafts answers from your own written policies. It never promises stock it can't see; it asks you.

  • Bot 2: replies to your reviews

When a review comes in, the Bot drafts a short reply in your voice, and you post it yourself. That's our review reply template. Our review request template asks every recent customer alike, never only the happy ones.

  • Bot 3: posts from your own photos

Send the Bot photos of new stock or a window display and it drafts a post for you to publish. xAI's Social Media Manager use case "drafts when something noteworthy ships, parks posts for you to publish" (xAI's Use cases page). That's our posts from your job photos template. Prices and offers go in only as you write them.

  • Start from xAI's own templates

xAI's Use cases page lists 56 jobs and its official Marketplace lists 90 public templates, as of 20 Oct 2026 (our Grok Bot template stats page). Each use case has an Add to Grok Bot button (xAI's Use cases page). For a shop, the closest official ones are Inbox Manager, where "Every send stays behind your approval", and Social Media Manager (xAI's Use cases page). Our templates page has drafts-first versions of the jobs in this guide, with copy-ready prompts.

  • Run all three through one daily list

Have each Bot hold its drafts, and add our daily approval list template so you approve, edit or reject them in one numbered list. An approval raised by a routine expires after about 10 minutes, and the action doesn't run (xAI's Approvals docs), so a list you check after closing is safer than cards you might miss. Our Grok Bot approvals guide covers the rest.

  • Set the schedules on purpose

Ask the Bot that owns the job to create the routine, and confirm the schedule and time zone (xAI's Skills and routines docs). Each run spends usage, and an hourly schedule or a Slack trigger on a busy channel can use a week of usage in a day (Grok Bot help: Routines). Our templates run inbox drafts twice a day, review replies once a day and posts weekly. Want a stock reorder list too? See how to automate inventory reorders with AI.

  • Test each one before it runs on its own

Use Test run after you create or edit a routine. A test run does real work, so test with last week's emails and an old review, not live customers, and check it stopped at the approval point (xAI's Skills and routines docs). Run each Bot for a week, approve every draft and tell it each edit you made. Then add the next one.

    ~5h/week · estimate
  2. 02FAQ support in your voice, with your OK on every reply
The agent drafts replies to common customer questions from your docs and hands off anything tricky. You approve them one at a time or in a batch. Auto-sending simple FAQ answers is an optional upgrade.
    ~8h/week · estimate
  3. 03Reply to every Google (and other) review, with your OK before posting
Paste new reviews and get a short, honest reply draft in your voice. Good ones get a specific thank-you; bad ones get a calm offline fix-it offer. You post every reply yourself.

  4. 04Ask every customer for a review, with your OK on each day's list
After each completed job the agent drafts the same friendly review request, with your Google link, for every customer. You approve the day's list in one go, then it sends. It flags any complaint that comes back to you.

Send the bot your job photos, notes or a customer's kind words. It drafts this week's posts in your voice for you to approve. Nothing posts automatically.
    ~2h/week · estimate

Example: Grok Bot setup

Grok Bot routine: Inbox triage with drafted replies
Schedule: Twice daily 9:00 and 15:00

Twice a day, go through new emails. Label each as Reply, FYI or Ignore. For Reply, write a draft in my voice (short, friendly, direct) and save it as a draft, never send. Send me a list of drafts to approve and any FYIs worth knowing.

Rules: draft first, never send or post anything external without my approval. Keep summaries short.

Setup steps

  1. Make Bot 1 with a short name and one primary job, and in your first message tell it the work, the sources to use and when to ask for your approval, then ask it to remember that (Grok Bot help: Onboarding): sort my shop inbox and draft replies to stock, hours, collection and order questions from my written policies, for my approval. Never promise stock, refunds or prices I haven't confirmed.
  2. Make Bot 2 for review reply drafts, and post replies yourself.
  3. Make Bot 3 for weekly post drafts from your own photos.
  4. Add the daily approval list and check it after closing.
  5. Run all three for a week and approve every draft before you add anything else.

Keep these human

  • Refunds, exchanges, prices and discounts stay with you. A Bot drafts a holding reply at most.
  • It never promises stock or a collection time it can't see in a system you've connected.
  • Keep till, card and supplier logins off the Bot's computer at the start.
  • Personal Bots no longer have a description, so lasting rules go in chat: ask the Bot to remember them, like "From now on, ask before sending any email" (Grok Bot help: Edit a Bot).
  • Never paste a password or one-time code in chat. Sign in yourself with Take over, then choose I'm done (xAI's Approvals docs).
  • Start in draft mode: the agent prepares, you approve, then you loosen the leash routine by routine.

FAQ

What can Grok Bot do for a retail store?

Start with three drafts-first jobs: replies to customer questions, replies to your reviews and posts from your own photos. You approve each one.

Can it check my stock?

Only if your stock list is in something it can read, like a spreadsheet you connect. Otherwise it should ask you before saying anything is in stock.

Can it handle refunds or exchanges?

No. It can draft a holding reply and pass you the details. Refunds and exchanges stay with you.

Will it send messages to customers on its own?

Not if you keep drafts on. A Bot can write an email as a draft for you to review, then Send or Discard it (Grok Bot changelog), and you can add an Ask first rule for external email in Settings → General → Auto-review (xAI's Approvals docs).

Are there official Grok Bot templates for this?

xAI's Use cases page lists 56 jobs and its Marketplace lists 90 public templates, as of 20 Oct 2026 (our Grok Bot template stats page). None is made for this business type, so start from the closest ones named in this guide and set your own rules in the first message.

Where do I put the Bot's rules?

In chat. Personal Bots no longer have a description; for a lasting rule, ask the Bot to remember it (Grok Bot help: Edit a Bot). A Team Bot you own or manage still has a description.
