How to automate inventory reorders with AI: low-stock alerts and supplier drafts

Updated · by Rosh Perera

Running out of a best-seller costs sales, and over-ordering ties up cash. A reorder routine checks stock against a reorder point you set, lists what's low, and drafts the purchase order to each supplier for you to approve. AI helps with the reading and drafting; you set the reorder points and approve every order. Not sure which job fits your business first? Answer 5 quick questions in our free planner.

What to hand to an agent first

  • Set reorder points

For each item: current stock, reorder point (the level where you reorder), usual order quantity, supplier and lead time.

  • Daily low-stock list

Each morning the agent reads stock from your sheet or store and lists items at or below their reorder point.

  • Supplier order drafts

It groups low items by supplier and drafts one order email per supplier with items and quantities, for your OK.

  • Lead-time warnings

It flags items that will likely run out before a new order arrives, based on the lead time you entered.

  • Weekly review

A Friday note: items that ran out, items that haven't sold in 60 days, and reorder points you may want to change.

Copy-ready prompt

Every weekday at 7:30, read [stock sheet or store inventory] (columns: item, SKU, stock, reorder point, order qty, supplier, lead time days, avg daily sales).
1. List every item where stock <= reorder point.
2. Also list items where stock / avg daily sales < lead time days, as "may run out before delivery".
3. Group the list by supplier and draft one order email per supplier: items, SKUs, order qty, requested delivery date.
Rules:
- Never place an order, change prices or pay.
- If any column is empty for an item, list it as "missing data" instead of guessing.
- Don't send. Post the list and drafts here for my approval.

FAQ

Can AI reorder inventory automatically?

It can list low stock and draft supplier orders. Keep placing and paying for orders with you.

What's a reorder point?

The stock level where you place a new order so it arrives before you run out. You set it from your sales and the supplier's lead time.

Does this work with Shopify?

Yes. Grok Bot has a Shopify connector, and n8n and Zapier can read Shopify inventory too.

What if my stock counts are wrong?

The routine is only as good as the counts. Do a quick count check on your top items monthly.
