n8n AI agents for agencies
Updated · by Rosh Perera
Agencies can use n8n's AI Agent node to run client onboarding, reporting and lead routing as workflows. n8n is a good fit when you want the same process for every client, triggered by real events (a payment, a form, the first of the month), with full control over where data goes. Add an approval step so nothing reaches a client unreviewed. For lead routing, pair this with Speed to lead: AI lead follow-up.
What to hand to an agent first
Onboarding workflow
A payment triggers the welcome email, intake form and kickoff booking link, and creates the client's folder and tasks.
Reporting workflow
Pull metrics on a schedule, let the AI write the summary, then send it to Slack or email for approval.
Lead routing
Score inbound leads against your ideal client and route them to the right person or sequence.
Client update drafts
Each week, draft an update per client from your project tool for an account lead to send.
Proposal drafts
When a call transcript lands, draft a scoped proposal from your rate card.

Example: n8n setup
n8n workflow: Client onboarding, with your OK on the welcome email When: On new payment 1. Create a new workflow. Add a Schedule Trigger, or the app trigger for the event (e.g. new email, new form entry, webhook). 2. Add nodes that fetch the inputs this routine needs (Gmail, Google Sheets, your CRM, etc.). 3. Add an AI Agent node (connect your model: OpenAI, Anthropic, or another provider) and paste this as the system prompt: When a new client pays, draft my welcome email with the intake form and kickoff booking link and send me the draft to approve. Send it only after I approve; if I don't answer, send nothing and remind me. Create their project page in Notion from my template. If they haven't booked in 48h, tell me and draft a short nudge for my approval. (Sending the welcome email automatically once you trust the template is an optional upgrade.) 4. Send the output to yourself first (Gmail draft, Slack or Telegram message). Add a "Send and wait for response" / approval step before anything goes to a customer. 5. Test with "Execute workflow", check the output, then activate it.
