Missed calls and texts front desk for trades (Grok Bot workflow)
Updated · by Rosh Perera
A Grok Bot front desk for missed calls and texts sorts what comes in by urgency, drafts every reply for you to approve, books only calendar slots that are really open, caps how many texts go out, and never quotes a price without you. You set it up yourself as a workflow with your own Bot.
Trade owners lose jobs when a call or text lands while they are under a sink or on a roof. This page is a front desk workflow you can run with Grok Bot support: sort inbound by urgency, keep every outbound reply on an approve list, book only calendar slots that are actually open, cap texts so you do not spam or burn usage, and never quote a price without the owner. Inspiration for this pattern includes a public owner post from Brian Roemmele (27 Oct 2026) sharing a free "Text and Voicemail" Grok Bot setup that bridges inbound via Google Voice and waits for a yes before sending. That is an owner-built share, not an xAI product sheet - we cite what we can verify and label the rest. Built-in Calls and Mac iMessage reports stay honesty-locked on our phone-calls and imessage guides (official changelog still framed as v0.75.8 elsewhere). We invent no income claims. Our One-Person AI Business Pack on /pack is $29 one-time, plus local tax where it applies - a setup pack, not a lead guarantee. Free usage check: /tools/grok-bot-usage-check. Facts checked 28 Oct 2026. We're an independent site, not part of xAI or Cursor.
Key points
- Urgency sort first: emergency / same-day / estimate / spam. The Bot summarizes; you decide who gets a human callback now.
- Approve-list drafts only: every customer-facing text waits for your tap. No silent auto-send of money talk.
- Book only open slots: calendar rules (hours, job length, buffer) before offering times. Prefer approve-each-booking until you trust the rules.
- Text / SMS cap: keep a daily or per-thread cap so you do not burn the week or look like spam. Raise the cap only when standing stays clean.
- Never quote price without the owner: drafts can collect address, problem, photos, and preferred callback window. Price, discount, and "we can do it for $X" stay human.
- Honest stack pick: Roemmele-style free Google Voice bridge Bot vs ClawCall (paid inbound answer on a reserved number) vs Birdcall (commercial AI receptionist marketing). Different jobs; see compare below.
- Related product honesty: Calls / iMessage are not fully documented as a universal SMS desk. Read /guides/grok-bot-phone-calls and /guides/grok-bot-imessage before you assume a feature is live on your account.
Roemmele free bot vs ClawCall vs Birdcall (facts we can verify)
| Option | What it is (verified / labeled) | Fits when | Watch-outs |
|---|---|---|---|
| Roemmele "Text and Voicemail" Grok Bot | Public owner share (X, 27 Oct 2026). The short post promotes a free Text and Voicemail Bot. A long-form mirror claims Google Voice intake, urgency notes, approve-before-send drafts, open calendar slots, text caps and contractor voicemail summaries. The share URL on the mirror (x.ai/bot/z2ds5I1IWL) returned HTTP 404 when we checked 28 Oct 2026, so the import link may rotate. (Brian Roemmele on X (27 Oct 2026)) | You already run Grok Bot, want drafts-first SMS/voicemail triage, and will verify the share yourself. | Not an xAI product sheet. Google Voice is a stand-in (owner claim). Not full native iMessage. Price quotes stay your rule. |
| ClawCall | AI caller + inbound receptionist on a reserved US number. Free trial: 30 calls or 30 minutes, whichever comes first. Plans on /calling: Unlimited $8.99/mo; Unlimited Reserve $14.99/mo (private caller-ID); Unlimited Reserve Plus $18.99/mo (inbound AI on one active reserved number). Missed-call guide: carrier conditional forwarding, plus a Grok Bot setup path. US +1 only; not a multi-line contact center; no bulk dialing. (ClawCall calling plans, ClawCall call forwarding guide) | You want the phone answered when you miss it, with transcripts and outcomes, and will pay for Reserve Plus + forwarding. | Your carrier decides what can forward. No automatic voicemail fallback if ClawCall is down (their guide). Test before forwarding. |
| Birdcall (bird-call.ai) | Public marketing: a virtual receptionist that greets, answers FAQs, takes messages and routes calls; calendar/CRM booking claims; field-services and home-services pages. (Birdcall virtual receptionist, Birdcall field services) | You want a commercial voice receptionist product and will evaluate demos with the vendor. | No public pricing page at /pricing when checked 28 Oct 2026 (HTTP 404). We publish no Birdcall prices and no performance numbers from their marketing. |
Spam scrubbing alone is /guides/grok-bot-spam-call-scrubber. Generic text-back setup is /guides/missed-call-ai-text-back. This page covers the trades front desk rules (urgency, approve list, open slots, SMS cap, no price without the owner) plus the three-way honesty compare.
Trades front desk rules (missed calls and texts)
Write the urgency ladder in one card
Example labels (edit for your trade): A = safety / active leak / no heat in freeze / electrical hazard - call me now. B = same-day repair if open. C = estimate / quote request. D = spam / wrong number / sales. Tell the Bot to tag every inbound note with A-D before you see a draft.
Route inbound into one intake number or mailbox you control
Common owner pattern (Roemmele post claims, labeled as such): a separate Google Voice number receives texts and voicemails; the Bot summarizes intent and urgency, then hands you a short note plus a draft reply. Official Grok Bot docs do not ship a universal "every account has SMS voicemail desk" product page - treat shared Bots as setups you verify yourself. For live voice answering on a reserved number, see ClawCall's public missed-call assistant path (carrier forwarding; Unlimited Reserve Plus). Built-in Calls honesty: /guides/grok-bot-phone-calls.
Keep every outbound on an approve list
Drafts only. You tap yes. Pre-approve only low-risk lookups (hours, service area, "we got your message"). Anything with money, new contacts, deletes, or odd requests waits for a tap in the Bot app (Roemmele's command-line Bot post also describes permission levels - again, owner claim, verify on your seat).
Book only open slots
Connect the calendar you actually work from. Offer times that fit hours, job duration, and buffer. Prefer approve-each-booking at first. Auto-confirm (if you turn it on later) still must obey open-slot rules. Do not invent openings the calendar does not show.
Cap texts
Set a daily outbound text cap and spacing so Google Voice / carrier standing and your weekly Grok Bot pool both stay healthy. Owner posts describe caps as a seatbelt, not a megaphone. Our /tools/grok-bot-usage-planner and /tools/grok-bot-usage-check help you see week burn from chatty Bots and routines.
Hard rule: never quote price without the owner
Allowed in drafts: acknowledge the problem, ask for address / photos / access notes, offer open estimate slots, promise a human callback. Forbidden without you: dollar amounts, "around $X", discounts, financing promises, "we beat any quote". If a caller pushes for a number, the draft should say a human will call back with pricing.
Test with a second phone before you trust the line
Send a fake urgent leak text, a spam pitch, and a "got anything Thursday?" booking ask. Confirm urgency tags, approve gates, open-slot offers, and that no price left without you. For ClawCall forwarding, their public guide says test the reserved number before you forward your real line, and restore voicemail before you release a number.
If you want a written setup pack
/pack One-Person AI Business Pack - $29 one-time, plus local tax where it applies. Setup and planning pack. Not a missed-call lead guarantee. Free quiz (Missed calls and texts path): /quiz. Usage check: /tools/grok-bot-usage-check.
Copy-ready prompt
When a text, voicemail or missed-call alert reaches [your intake number or mailbox], do this: 1. Tag it by urgency (edit the labels for your trade): A = safety, active leak, no heat in a freeze or electrical hazard. Message me now with the number and a one-line summary. Do not draft a reply. B = same-day repair, only if my calendar has an open slot today. C = estimate or quote request. D = spam, wrong number or sales pitch. List it, no reply. 2. For B and C, draft a short reply: thank them, ask for the address, photos and access notes, and offer up to two times that are open on [my calendar], inside my hours, job length and buffer. Never offer a time the calendar does not show. 3. Post every B and C draft here as one approve list, B first. Send nothing until I approve it. [Optional: post the C list once a day at [time] instead.] 4. Never put a price, "around $X", a discount, financing or an arrival time in a draft. If they push for a number, the draft says I will call back with pricing. 5. Text cap: no more than [number] outbound texts a day and [number] per thread without asking me. 6. Money, deposits, card details, complaints, refunds and odd requests always come to me. No draft. 7. If the calendar or intake is unavailable, report the failure to me instead of guessing times. 8. Keep a log: who, urgency tag, what they need, what I approved.
Works as a Grok Bot routine, a ChatGPT scheduled task or a Claude project instruction. Fill in the [brackets] first. It only writes drafts.

Ready-made use cases
- 01Missed-call text-back that books the job

~6h/week · estimate - 02Book plumbing jobs by SMS, with your OK on every reply
An agent drafts replies to inbound texts, quotes standard jobs from your price list, checks your calendar and drafts the booking confirmation. You approve each one before it sends. Auto-confirming is an optional upgrade once you trust it.

Example: Grok Bot setup
Grok Bot routine: Missed-call text-back that books the job Schedule: Always on (missed calls) When I miss a call, draft a short text to the caller: apologize, ask what they need, and offer two booking times from my calendar. Send me the draft to approve, and only send it to the caller after I approve it. (Instant sending is an optional upgrade once you trust the wording.) Log the lead and notify me with a summary. Rules: draft first, never send or post anything external without my approval. Keep summaries short.

What should you keep in mind?
- Owner viral posts are not product docs. Re-check share links and Connect Apps on your account.
- Official Calls / iMessage coverage can be staggered, Mac-framed, or missing per account - see /guides/grok-bot-phone-calls and /guides/grok-bot-imessage; the official changelog is still framed as v0.75.8.
- Do not auto-send price, deposits, or card details. Ask first for every money move.
- Cap outbound texts. Caps protect standing and weekly usage.
- Recording and two-party consent laws vary by place - follow your jurisdiction; we are not giving legal advice.
- No income claims. A quieter phone is not a revenue guarantee.

FAQ
Is Roemmele's Text and Voicemail Bot an official xAI product?
No. It is a public owner-shared Bot (X post 27 Oct 2026). We verified the short post via X's API. Extended Google Voice / approve / calendar / cap claims appear in a long-form public mirror of that post - treat them as owner claims you must verify. The share URL on that mirror was not loading (404) when we checked 28 Oct 2026.
Can Grok Bot fully replace a receptionist that answers every live call?
Not as a documented universal product on every seat. For live inbound answering on a reserved number, ClawCall publishes Unlimited Reserve Plus + forwarding. For commercial receptionist marketing, see Birdcall's public pages (pricing not public on their /pricing URL when we checked). Built-in Calls honesty: /guides/grok-bot-phone-calls.
Should the Bot text a price while I am on a job?
No. Collect details and book an estimate slot or promise a callback. Price stays with the owner.
Will this burn my Grok Bot week?
Chatty always-on triage and long voice workflows can. Cap texts, pause noisy routines, and check Usage. Free tools: /tools/grok-bot-usage-check and /tools/grok-bot-usage-planner.
Where does the /quiz "Missed calls and texts" result send me?
Here, to these trades rules and the free copy-ready prompt below. The result also links /guides/missed-call-ai-text-back for the basic text-back setup. Both pages stay useful: text-back setup vs this trades rules page.
